Senior On-Site Service Specialist
**Part-Time Position:** Monday to Friday, 4 hours per day. **POSITION PROFILE** The Senior On-Site Service Specialist is responsible for various operational functions, including the operation of high-volume duplicating, production, sorting, mailing, or bindery equipment. Responsibilities also include copier maintenance, shipping and receiving products and supplies, handling incoming and outgoing mail/faxes, and applying necessary postage. The role may also include other duties such as performing bindery, quality control, housekeeping, hospitality, file services, call center representation, and reception. Employees in this role may be responsible for building support functions, such as meeting setups and light maintenance. Due to the high level of presentation and telephone skills required, employees performing these duties are considered Senior On-Site Service Specialists. This position reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site personnel configuration. **Job Duties and Responsibilities** + Operates high volume/production copy machines and performs binding and finishing work. + Ensures convenience copiers are working properly, conducting daily inspections for quality, clearing paper jams, and reporting issues to technicians. + Performs basic equipment troubleshooting and escalates calls to technicians when needed. + Performs equipment setup as prescribed by the customer (e.g., toner replacement, paper stocking). + Performs scanning and/or imaging tasks as required. + May perform temporary or occasional reception duties. + Maintains records for management reports and inventory of supplies. + Distributes office supplies, fax transmissions, and mail to designated locations. + Calculates charges for completed jobs and maintains logs, which may include generating reports. + Responds to and coordinates all service calls as required by the customer. + Performs filing duties in alignment with customer requests. + Delivers completed jobs to predetermined customer locations within and outside of the site. + Maintains daily meter and service logs. + May travel between customer's buildings. + Answers customer inquiries regarding job status or feasibility. + Ensures upkeep of copier areas by keeping them clean and well-stocked. + Handles shipping duties related to materials. + Handles receiving duties related to materials. + May perform meeting room and conference room setups. + May assist with building occupant moves within assigned facilities. + May perform light maintenance and cleaning duties as assigned. + May occasionally assist with shipping, receiving, and dock work in a mailroom setting. + Periodically works overtime on nights and weekends, including off-hour emergency responses. + Operates various bindery equipment, such as shrink-wrap machines, paper cutters, hole drills, and stackers. + Uses copier equipment, calculators, fax machines, postage meters, and computers as required. + Performs filing duties, which may involve purging or archiving old documents. + Understands and applies Ricoh Services Portfolio & Technology. + Captures data for Ricoh MOR, SPG, and job logs. + Performs other duties as assigned. **Qualifications (Education, Experience, and Certifications)** + High school diploma or GED required, with 1-2 years of related work experience. + Some copy job experience preferred. + May require a valid driver’s license and minimum levels of auto insurance coverage, as per Ricoh. + Basic computer skills required, with proficiency in MS Office Suite. **Knowledge, Skills, and Abilities** + Working knowledge of copier and related equipment and repairs is preferred. + Knowledge of shipping/receiving procedures. + Basic electronics knowledge preferred. + Ability to work independently and flexibly to complete projects. + Ability to determine proper packing methods and check packing slips for accuracy. + Ability to comprehend instructions regarding mail delivery. + Strong troubleshooting and problem-solving skills. + Ability to read and comprehend written technical information, such as manuals and parts books. + Excellent customer relations and verbal communication skills. **Working Conditions, Mental and Physical Demands** + Frequent exposure to copier/fax machine noise, toner, and temperature fluctuations. May also experience paper cuts from handling paper or opening boxes. + Exposure to various weather conditions when walking between buildings; equipment handling may pose injury risks. + Regular contact with customers, employees, managers, and dispatch departments, with occasional contact with vendors and technicians. + High stress due to tight deadlines and quick turnaround times. + Physical effort required, including standing, walking, bending, stretching, and lifting or moving items weighing up to 50 lbs. and machines weighing up to 400 lbs. + Walking between buildings may be required. _The above statements are intended to describe the general nature and level of work being performed by individuals assigned to this job.
