Overview

As part of Business Operations team, manage the end-to-end process for Digital Labs events on behalf of Services.

Job Summary: The Digital Labs Events Project Manager will be responsible for managing and executing events for the Digital Labs team. This role involves coordinating all aspects of event planning and execution, including venue sourcing, contract negotiation, vendor management, and event reconciliation. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Role
•\tEvent Planning and Coordination
•\tProcessing and recording new meeting requests on the MC Portal.
•\tCreating RFPs and sourcing hotels.
•\tCollating and calculating venue comparison/RFP reports.
•\tQuerying proposals received, missing information, and pricing with hotels.
•\tProposing RFP reports and outlining available venue options to facilitators.
•\tChasing up facilitators for their decision on a venue.
•\tLiaising with hotels and working out venue contracts.
•\tManaging the Digital Labs team's hotel room list and bookings for their stay in different cities/countries.
•\tProcessing payments to hotels, caterers, and vendors.
•\tEvent reconciliation and close-out on the system.

Miscellaneous Tasks:

•\tP-Card reconciliation
•\tArranging catering and liaising with external vendors, including chasing up facilitators for their reply on menu choices.
•\tProcessing third-party supplier payments for the delivery team.
•\tResearching more cost-effective and efficient alternative venues.
•\tPerforming administrative tasks such as training, handling queries from the team and stakeholders, team meetings, and 1:1s.

Analysis and Reporting:

•\tAnalyzing the average number of events per month
•\tAssessing monthly workload and contracted hourly capacity

Qualifications:

•\tProven experience in event planning and project management.
•\tStrong organizational and multitasking skills.
•\tExcellent communication and negotiation skills.
•\tAbility to work under pressure and meet tight deadlines.
•\tProficiency in using event management software and tools.
•\tKnowledge of budgeting and financial management.

Preferred Qualifications:
•\tExperience in the digital or technology sector.
•\tFamiliarity with CRM systems and project management tools.

•\tStrong organizational skills
•\tStrong attention to details, multi-tasker, written and oral communication skills
•\tMS Word and Excel skills
•\tAbility to work in fast paced dynamic environment
