I. Major Responsibilities:
Project and Program Administration and Implementation
1. Collaborate with Medical Group senior leadership and UMMH partners to ensure smooth administration of key programs and projects.
2. Allocates resources effectively, streamlines processes, and ensures compliance with UMMH standards.
Program Oversight and Communication
1. Work independently under the direction of the VP/Senior Medical Director and COO to track and communicate the program and project status and updates.
2. Serve as program lead, engaging key stakeholders and ensuring effective communication across leadership, department chairs, administrators, faculty, and providers.
3. Organize and facilitate meetings to advance program initiatives and maintain alignment with strategic goals.
Strategic Project Planning and Execution
1. Define program scope, risks, and deliverables in collaboration with stakeholders.
2. Conduct analytical studies to assess program effectiveness and recommend improvements.
3. Develop progress reports, proposals, and presentations to communicate program outcomes.
Project Management and Resource Allocation
1. Plan, manage, and evaluate program initiatives from inception to execution.
2. Establish program timelines, milestones, and performance indicators.
3. Clearly communicate expectations, responsibilities, and resource requirements to stakeholders.
Communication and Stakeholder Engagement
1. Collaborate proactively with Medical Group Communications Manager to develop well-planned communications strategies.
2. Draft and propose communication plans to ensure transparency and mitigate downstream impact to caregivers and other stakeholders.
Financial and Budgetary Oversight
1. Engage with finance business partners, the Medical Group CFO, and Revenue Cycle teams to evaluate the financial impact of programs and initiatives.
2. Assist in budget development and ensure accountability for assigned programs.
Strategic Planning and Best Practices
1. Support department administrators, physician leaders, and senior leadership in strategic planning to optimize program performance.
2. Develop tools and frameworks for effective program execution and management.
Problem-Solving and Continuous Improvement
1. Address and resolve inquiries from stakeholders, ensuring alignment with strategic objectives.
2. Stay updated on industry best practices and professional development opportunities.
Team Collaboration and Facilitation
1. Leverage understanding of personality profiles to enhance collaboration and effectiveness.
2. Maintain and improve existing Medical Group programs to ensure continued success.

II. Position Qualifications:
License/Certification/Education:
Required:
1. Bachelor’s degree in business, management, healthcare administration, operations management, or related field.
2. Lean Six Sigma Certification (Green Belt or higher) (to be obtained within 6 months of hire).
3. Project Manager Certification (or to be obtained within one year of hire).
Preferred:
1. Master’s degree in business, management, healthcare administration, operations management, or related field.
2. Certified Scrum Master (CSM).
3. Agile Project Management Certification.

Experience/Skill:
Required:
1. Minimum of three years of project and program management experience with a proven track record in operations improvement and team development.
2. Five to seven years of experience in hospital, healthcare, or academic setting.
3. Experience with change management methodologies (e.g. Prosci, Kotter).
4. Experience working in a matrixed organization, collaborating with multiple stakeholders across departments.
5. Strong leadership skills with ability to working independently.
6. Excellent verbal and written communication skills.
7. Ability to effectively engage with all levels of management and stakeholders.
8. Strong organizational skills with the ability to manage multiple priorities.
9. Proficiency with all MS Office applications.
Preferred:
1. Five years of project management experience with a proven track record in operations improvement and team development.
2. Experience with Workday.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
III. Physical Demands and Environmental Conditions:
Work is considered sedentary. Position requires work indoors in a normal office environment.
