**Job Responsibilities:**
Departmental Administrative Support / Administration Support:
Provide direct administrative support to the Department Chair of STP. This includes but not limited to: managing calendar and meeting requests, purchasing instructional materials and supplies, arranging domestic and international travel, reconciling travel expense reports, and other duties as assigned.
+ Managing administrative office support for the STP Department
+ Scheduling meetings as needed; taking and disseminating meeting minutes as needed, and reserving meeting rooms
+ Confidential calendar management with both internal and external participants, preparing meeting materials, scheduling interpreters and managing additional logistics needed for meetings and related activities.

Provide clerical support to the department including telephone support, general word processing, photocopying, filing, and distributing mail
+ Respond to students, parents and community inquiries regarding the program
+ Travel arrangements for the Department Chair and associated parties as needed. This includes all aspects of the travel – registrations, flights, hotels, care rentals, and reconciling trip expenses (TERs)
+ Collaborate with Human Resources, Accounting/Payroll, shipping/receiving, NTID facilities services (keys, office moves, etc.)
+ Maintain front desk operations and coverage, arranging for maintenance and servicing of equipment, accepting deliveries and packages and greeting visitors
Finance and Budget Administration:
+ Meet monthly with Department Chair to review and approve departmental budget
+ Management of assigned department procurement cards, and monitoring monthly approvals and cards’ limit
+ Utilize the Oracle system to print out monthly budget report to reconcile department’s budget.
+ Reconciliation of monthly expenses, procurement card statements including all receipts and supplemental documentation
+ Maintain all documentation for departments’ monthly statements as part of monthly reconciliation
+ Compete PCMs and Journal Entries for assigned departmental account. Collaborate with other NTID departments on completing journal entries as needed
+ Management of all HUB, FMS, Digital Den, Dining Services, Housing Operations related chargeback invoices and all other related charges
+ Manage department’s purchase orders and vendor set up including confirmation of delivery and submission to A/P for payment
Office Operations:
+ Maintain front desk operations and coverage
+ Collaborate with Facilities Management to arrange for maintenance, accepting deliveries and packages
+ Arrange for servicing of equipment and process the yearly equipment inventory
+ Order and coordinate supplies for the department
+ Provide friendly and welcoming atmosphere to all
Human Resources:
+ Process adjunct, overload and summer faculty contracts
+ Process temporary staff contracts – Datrose
+ Student employment hiring – create job descriptions, posting, hiring, and onboarding
+ Supervise Office Assistants (2-3)
+ Utilize Kronos to track and sign off student employees

**Required Qualifications:**
+ Associates degree or higher
+ 2+ years’ experience administrative support or related experience
+ American Sign Language proficiency of intermediate or above, or willingness to learn
+ Proficiency in Microsoft Office Suite, Google Suite, and Zoom
+ Experience working abroad or in a multicultural environment with diverse language needs
+ Excellent interpersonal skills, customer service and sensitivity to cultural differences
+ Ability to prioritize and multitask various projects and deadlines
+ Ability to handle highly confidential information in professional manner and according to FERPA
+ High degree of organization skills and detail oriented
+ Maintain productivity with frequent interruptions
+ Ability to work collaboratively with other staff assistants within NTID and campus partners
+ Ability to adapt to using new technology and systems for business operations
**Preferred Qualifications:**
• 2+ years’ experience with Oracle or similar business operations software
• 5+ years’ experience in a professional or academic setting

**Job Summary:**
The Senior Staff Assistant will report directly to the Department Chair of the Summer Transition Program/STEM Academy (STP) and work collaboratively with other members of the department to provide direct support for students in the program. This position will balance responsibilities related to department operations: recordkeeping, financial and budgetary process, human resources process and facilitate communication between other departments.
