Service Coordinator

Our client is a trusted source in the commercial HVAC industry. They are looking for a full-time Service Coordinator to join their team based in Ottawa, Ontario.

In this role, the Service Coordinator will be responsible for managing the flow of work orders, coordinating with dispatch and technicians, handling client communications, and ensuring the smooth operation of service-related activities. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Some of your key responsibilities in this role will include:

Coordinating the completion of work orders with dispatch and technicians. Tracking outstanding work orders and ensuring timely completion. Updating work order statuses in the system and communicating updates to clients. Handling client calls and emails regarding service requests and inquiries. Sending, tracking, and following up on repair quotations. Addressing and resolving client complaints or issues promptly. Inputting and maintaining maintenance agreements. Ensuring all agreements are up-to-date and accurately recorded. Notifying clients of upcoming maintenance services and renewals. Uploading documents to client portals. Maintaining accurate records and filing systems. Preparing and distributing service reports to clients as required. Receiving and managing small part deliveries. Issuing purchase orders as needed. Ensuring parts are properly documented and stored. Covering the dispatch position during vacations or sick leave. Assisting in invoicing and follow-up on unpaid invoices. Assisting with special projects and initiatives as needed.

Qualifications:

High school diploma or equivalent; additional education or certification in HVAC/R or related field is an asset. Previous experience in a similar role within the HVAC/R industry preferred. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM software. Ability to work independently and as part of a team. Attention to detail and problem-solving skills. Basic knowledge of HVAC/R systems and terminology is an advantage.

Physical Requirements:

Ability to sit for extended periods. Occasionally required to lift small packages (up to 20 pounds).
