Job Title: Service Invoicing Specialist
Job Description

We are seeking a detail-oriented and organized Service Invoicing Specialist to join our team. The ideal candidate will have a strong understanding of accounts payable (AP) and accounts receivable (AR), along with experience in creating invoices and purchase orders. This position requires excellent grammar, spelling, and communication skills as you will be editing and publishing notes in a professional manner for customers. You will also assist in various administrative tasks and support the team with high attention to detail.

ResponsibilitiesCreate and send customer invoices from scratch based on work orders and notes.Compose customer quotes using provided templates.Create purchase orders for materials needed for projects and convert them into bills for payment.Maintain high attention to detail in all tasks.Track and measure the number of work orders invoiced and quotes created, with goals of 47 invoices and 30 quotes per week.Use Buildertrend and QuickBooks for invoicing and accounting tasks.Take and edit technicians' notes for professional customer communication.Update Service Technician certifications and records.Enter customer purchase orders and corresponding bills.Handle soft customer collections by resending invoices and making friendly reminder calls.Assist in projects as needed and complete tasks in a timely manner without reminders.Answer phones and enter service requests efficiently, managing interruptions without feeling overwhelmed.Essential SkillsStrong understanding of accounts payable and accounts receivable.Experience in invoice processing and purchase order creation.Proficiency in using Buildertrend and QuickBooks.Excellent grammar, spelling, and communication skills.High attention to detail and organizational skills.Ability to multitask efficiently and manage interruptions.Additional Skills & QualificationsPositive and friendly attitude.Resourceful and able to manage tasks and calendar efficiently.Ability to work independently and prioritize daily tasks.Team-oriented mindset with a willingness to support the team.Professional and positive demeanor on the phone and in person.No tolerance for negativity, gossip, or drama.Work Environment

The work environment includes a quiet office setting with a team of 6 staff members, 2 of whom are on the road most of the time. You will have your own office, pre-decorated with a multi-monitor setup and an adjustable desk. The office has a secured entrance with onsite parking, complimentary coffee bar, cooler with drinks, and daily snacks. The team enjoys quarterly off-site events and provides complimentary staff polo or cardigan. The role is 100% onsite for the first 6 months, then offers flexibility for 1-2 remote days per week. The standard work hours are from 8:00 AM to 4:30 PM, with flexibility to adjust to 7:30 AM to 4:00 PM or 8:30 AM to 5:00 PM, including a half-hour lunch break. After becoming permanent, further flexibility in work hours is available.

Pay and Benefits

The pay range for this position is $25.96 - $25.96/hr.
