In the role of SHE/Client Safety Compliance Administrative Assistant, we’ll count on you to:

Provide administrative support for the Corporate Safety, Health, and Environmental (SHE) team.Assist with SHE document management, including document formatting, document control, and revision histories.Assist in the maintenance of the SHE intranet SharePoint site.Stock, pack, and mail supplies/equipment and printed materials for in-person SHE training.Enter training rosters and quiz documentation into the learning management system. Manage the SHE event calendar.Support monthly SHE conference calls by managing the invitation list, confirming responses to submitted questions, preparing meeting minutes, and tracking attendance.Assist in distributing monthly SHE awareness board content.Post monthly Safety Scorecard status and answer Safety Coordinator questions regarding assigned tasks.Audit Safety Scorecard submissions on a quarterly basis.Other projects as assigned.Maintain accounts required by various client safety compliance systems and third-party prequalification subscriptions (examples include ISNetworld, Avetta, and Veriforce.).Coordinate initial and annual client-specific document and questionnaire uploads (insurance certificates; SHE and quality management system documentation; safe work and security procedures/programs; OSHA citation history; OSHA forms; experience modifier; sustainability and resiliency questionnaires and reports, etc.).Coordinate monthly client-specific data uploads and assignments (incident data and hours worked; drug and alcohol testing data; training assignment and completion records; site access badges; etc.).Each week, proactively review HDR’s score with each client within corresponding third-party prequalification subscriptions. Where HDR does not have an exceptional score, identify what is needed to achieve the exceptional score and work with the corresponding client manager, marketing lead, and accounting lead to complete. Provide client managers reports of client grades and manage prioritization.Assist with completing other prequalification forms and record requests.

Preferred Qualifications

AS/BS in Business Administration or related field preferred.Proficiency with Microsoft Power Platform (i.e. PowerBI, Power Automate, Power Apps, SharePoint 365, and MS Teams).

High School diploma or equivalentExcellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skillsFlexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environmentSelf-motivated, well-organized and detail-orientedAbility to handle confidential informationProficiency with MS Office including Word and OutlookAn attitude and commitment to being an active participant of our employee-owned culture is a must
