Site Administrative and Executive Support Officer

About the Role

In this opportunity as Site Administrative and Executive Support Officer, you will:

Executive Assistance:

Provide comprehensive administrative support to senior executives, including but not limited to managing calendars, scheduling meetings, and coordinating travel arrangements.

Act as the first point of contact for internal and external stakeholders trying to reach the executives, ensuring communication is managed effectively and professionally.

Prepare and edit correspondence, communications, presentations, and other documents on behalf of executives.

Manage executive expenses and prepare monthly reports for financial tracking and budgeting.

Organize and maintain electronic and paper files to ensure efficient retrieval of important documents.


Report Analytics:

Collect and compile data from various sources within the company to prepare detailed reports that support decision-making processes.

Analyze performance metrics, financial statistics, and operational data to identify trends, opportunities, and areas for improvement.

Create visual representations of data, such as charts and graphs, to illustrate complex information in a clear and understandable manner.

Present analytical findings to executives and stakeholders in a concise and actionable format.

Continuously improve reporting processes and tools to enhance the accuracy and timeliness of analytics.


Business Continuity Management:

Support the Business Continuity Manager in ensuring  critical operations can continue during times of crisis or unexpected events.

Conduct regular risk assessments to identify potential threats to business operations and implement mitigation strategies.

Coordinate with various departments to ensure that all aspects of the business continuity plan are understood, updated, and tested regularly.

Lead business continuity training and exercises for staff to ensure preparedness and awareness across the organization.

Serve as one of the POCs during a business disruption, coordinating response efforts and communication with stakeholders.

About You

You're a fit for the role of Site Administrative and Executive Support Officer if your background includes:

Bachelor's degree in business administration, office management, or any related field.

At least 2 years of experience as an Executive Assistant.

Proficiency in using Microsoft Suite (Word, PowerPoint, Excel, Outlook)

With experience or trained and accredited as a Safety Officer (SO1 or SO2) in accordance with the Occupational Safety and Health Standards.

Excellent written and verbal communication skills.

Ability to draft reports, correspondence, and other formal documents.

Strong organizational and time management skills.

Ability to multitask and prioritize daily workload.

High level of discretion and confidentiality.

Comfortable dealing with people at all organizational levels.

Capability to perform detailed research and analysis.

Problem-solving skills and the ability to think critically.

Ability to work independently and as part of a team.
