Job Description

Omni PGA Frisco Resort is seeking an organized and detailed Sales Administrative Assistant to join our team.  Omni Frisco PGA Resort will provide north Texas with 127,000 square feet of event space, 13 new food and beverage outlets, an extravagant spa and a full entertainment district. Featuring two championship 18-hole golf courses along with a third short course, we will provide incredible options for our guests and local community for dining, events, and entertainment.

 

The Sales Administrative Assistant Partners with sales managers on coordinating and executing site inspections/visits at the property. Handles all administrative duties required by the Sales and Marketing Divisions to provide superior services to our guests.

 

Responsibilities Schedules and prioritizes workload to meet deadlines of all managers.Coordinates and executes all aspects of site inspections/visits at the property for out-of-market and non-deployed accounts.Assist managers with setup of site inspections to include transportation, walking showrooms and meeting space, scheduling amenities, restaurant reservations, etc.Meets with walk-in clients and qualifies lead for sales managers.Partners with account/selling manager to develop creative aspects of site visit.Coordinates and plans all Familiarization Tours (FAM) and in-market customer events.Engages in proactive selling of all facilities (e.g., Spa, Golf, Restaurants).Provides expert knowledge on local destination (e.g., local attractions, events, etc.)Tracks bookings and leads generated from site visits.Maintain accounts, contact, activity and group details within FDC.Prepares and reviews emails, proposals, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate.Manage lead inbox and loading of leads in FDC . Maintain and update FDC.Audit and maintain account files and ensures that all information is included in FDC, i.e. budget, contract, booking recap, file turnover checklists, and cancellation checklists.Answers calls to sales office and retains appropriate caller information prior to transferring. Order office supplies and enter budget adjustments in Birchstreet.Process commission reports.Input amenities into ALICE for VIP clients and process paperwork (amenity card, receipt signature from Room Service).Participate in schedule rotation for department coverage.Maintaining PO’s  for the departmentComplete other duties as assigned by management.

 

Qualifications

 

Previous hotel sales administrative experience preferred. College degree preferred.Must be able to clearly and pleasantly communicate both verbally and in writing in English with guests, members, management and co-workers, both in person and by telephone.Maintain a professional business appearance, attitude, and performanceWillingness to learn and build upon existing administrative, sales, and customer service skillsAbility to effectively use Microsoft Word, Publisher, Outlook, and Excel is requiredKnowledge of current relevant computer software programs is preferred (Delphi, Salesforce, Opera knowledge preferred)Associate or advanced degree in business or hospitality preferredPrevious hotel sales administrative experience preferred

 

Physical Requirements:

The ability to sit and utilize telephone/computer for an extended period. Ability to walk for long periods in order to conduct site inspections of entire resort.

 

Working Environment:

Interior of hotel, in normal office conditions.
