Site Manager

Job Summary:

The Site Manager is responsible for the comprehensive oversight of business, practice management, and clinical operations at the healthcare facility. This role involves coordinating both front office and clinical activities to ensure efficient patient care delivery and adherence to organizational standards. Excellent communication and supervisory skills are essential for success in this role.


Essential Duties and Responsibilities 

Operational Management:

•    Oversee the day-to-day operations of the healthcare facility, including opening and closing procedures, mail handling, and accounts receivable processing.

•    Coordinate provider schedules and staff assignments to optimize patient service and accessibility.

•    Maintain inventory of supplies and equipment necessary for center operations and coordinate with vendors as needed.

Staff Supervision:

•    Provide general supervision to both office and clinical staff, ensuring adherence to quality standards, patient flow management, and professionalism.

•    Delegate responsibilities effectively and establish clear expectations for performance and conduct.

•    Participate in the hiring, orientation, and training of new staff members.

Clinical Oversight:

•    Collaborate with clinical staff to ensure the delivery of quality patient care, including patient education, counseling services, and adherence to clinical protocols.

•    Maintain compliance with confidentiality policies, including HIPAA regulations, and oversee the maintenance of patient records and data collection systems.

Communication and Coordination:

•    Serve as a liaison between the healthcare facility and external stakeholders, including other Valley Health sites, community organizations, and health agencies.

•    Facilitate effective communication among staff members and administration through regular meetings and updates.

•    Address patient concerns and complaints promptly to ensure a high level of customer satisfaction.

Maintenance and Safety:

•    Coordinate maintenance services to ensure a safe and sanitary environment for patient care delivery.

•    Communicate maintenance and capital needs to the appropriate teams and oversee their resolution.

•    Uphold safety protocols and procedures to promote a secure working environment for staff and patients.

*Other duties as assigned. 

Education and/or Work Experience Requirements: 

•    Minimum of 2 years of Healthcare Management experience, with a preference for those with a background in community health centers, UDS measures, and insurance billing.

•    Strong organizational, collaboration, and motivational skills.

•    Demonstrated supervisory experience with the ability to lead and develop a diverse team.

•    Proficiency in computer applications and record-keeping systems.

•    Ability to maintain focus and attention to detail in a fast-paced environment.

•    Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers

•    Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service

•    High school diploma or GED required

Physical Requirements/Working Conditions:

•    Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards. 

•    Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards

•    Must be able to talk, listen and speak clearly on telephone
