Job Description:

We are looking for our sites in Munich (Germany) a Site Service Coordinator, you will play a crucial role in ensuring the building and its mechanical, electrical, and plumbing systems are functioning efficiently. You will perform preventative and routine maintenance on systems such as air conditioning, HVAC, and pumps. This multifaceted role involves everything from routine maintenance to troubleshooting complex system problems, ensuring the facility remains in optimal condition.

Key Responsibilities:

Manage and Oversee Services: Ensure the overall delivery of soft and hard services and support lab activities at the site.Project Support: Assist with site and lab requests for new projects.Budget and Metrics Management: Oversee the Site Services budget, track metrics, participate in cost reduction efforts, and provide performance goals and feedback for service providers, including landlords and hosting companies.Supplier Supervision: Supervise and participate in suppliers’ daily activities, planning preventive and corrective maintenance according to site needs.Departmental Support: Ensure quality and cost-effective services across all departments.Collaboration: Work with site leaders to improve Site Services and promote partnerships across functional areas.Maintenance Coordination: Collaborate with the landlord and service suppliers for both extraordinary and ordinary maintenance of the building.Meeting Organization: Organize and manage periodic meetings with local laboratories and IT to support their needs and development plans. Provide general support for Site Admin Group, Finance and Purchasing, People, IT, and Lab.Service Standards: Ensure all services (heating, lighting, plumbing, cleaning, maintenance, and, where applicable, lobby and reception) operate to satisfactory standards. Act as the point of contact for team members and site leaders for any site infrastructure and service issues.Training Participation: Participate in periodic training courses on facility management and quality standards.Cost Saving Initiatives: Promote cost-saving initiatives to achieve the best service at optimal cost.Invoice Review: Review suppliers’ invoices for extraordinary maintenance and budget (reactive orders) to support these activities.Space Management: Manage space records and drawings.Business Continuity Plan (BCP): Act as the point of contact for the application of BCP processes to site facility systems.

Required Skills:

Technical Skills: A broad base of technical knowledge is required, including principles of heating, ventilation, and air conditioning (HVAC), plumbing, electrical systems, and building automation systems. A keen ability to troubleshoot technical problems is also necessary.Organizational Skills: Given the wide array of tasks, you must effectively manage time and resources to accomplish tasks within set schedules. Flexibility and adaptability are required to support both sites as needed.Communication Skills: Regular interaction with various individuals, from facilities managers to other maintenance staff and company employees, requires solid communication skills. You must be able to accurately understand problems, report on issues, and coordinate effectively with team members and other stakeholders.Problem-Solving Skills: The nature of the job often involves unexpected challenges. The ability to think critically, analyze problems, and come up with effective and efficient solutions is crucial to success in this role.

Requisites:

Educational Background:

A bachelor's degree in Facility Management, Engineering, or a related field.

Experience:

Proven experience in facility management, site services, or a similar role.Experience in managing budgets, overseeing suppliers, and coordinating maintenance activities.

Languages:

The preferred candidate must be a native German speaker and fluent in English (C1 level or above). Knowledge of Italian is a plus.

Certifications (optional but beneficial):

Certifications such as Certified Facility Manager (CFM) or Project Management Professional (PMP) can be advantageous.
