Job Summary: Schedules procedures, verifies and inputs patient demographic and insurance/financial information, and creates new patient medical records via phone and/or in person for the purpose of facilitating the effective delivery of patient care. Determines and collects co-pays from patients. Prepares cash receipt, and balances cash drawer. Assists providers with patient consultations and follow-ups, vital signs, patient history, chief complaint, and care coordination for directly referred patients. Reports to the Manager of Sleep Disorder Center. Role is vital to collecting copays and ensuring patient is aware of their financial obligation for services. Role is face of the sleep center to the patient and maintains flow of daily operations.

Minimum Education: High school diploma or GED.

Licensure, Registration and/or Certification: None.

Work Experience: 6 months.

Knowledge, Skills and Abilities: Ability to multitask. Understanding of healthcare delivery processes in the medical office. Effective interpersonal and oral communication skills. Ability to organize and prioritize work in and effective and efficient manner. Demonstrated PC skills. Demonstrated patient care skills. Ability to work in a fast-paced environment.

Essential Functions and Responsibilities: Interviews the patient and/or family in order to obtain and document patient demographic and financial information as required. Ensures necessary signatures and authorization are obtained on all required paper work. Collects deductibles/co-pays appropriate for third party being billed and documents each transaction by making a receipt. Refers patients to financial counseling when appropriate and give patients any assistance applications when applicable. Maintains medical records including preparation of charts, filing of correspondence and test results. Assists in coordination of care through messaging patient telephone calls, scheduling appointments, communicating prescription refills, etc. according to established protocols. Successfully uses EPIC, EMR and other computer applications to accomplish tasks according to policies and procedures. Tracks ordered or pending tests, procedures or referrals according to protocol. Scans or copies all insurance cards and ID's. Make copies of any legal documents and places them in the medical record (living wills). Explains all required forms, obtains signatures and places these forms in the patient's medical record. (E.g. terms of care and medicare forms). Ensures patients receive privacy notices, patient health and safety brochures and financial brochures. Schedules based on availability of resources and ensuring reduction of delay in services. Coordinates scheduling for any related services needed/required. Confirms scheduled appointments. Accepts and prioritizes incoming phone calls. Notifies appropriate personnel of scheduling changes/cancellations. Provides instructions as directed by clinical department. Schedules correct procedure. Enters orders accurately and efficiently into clinical system. Submits physician orders to DME for patient equipment. Serves as liaison and communication point for all entities, staff, offices, other SFHS departments, and employees in an effort to provide a single point of contact for coordination of scheduling functions. Communicates changes to schedules early and accurately to maximize scheduling efficiency. Determines and collects co-pays and deductibles from patients. Requests payments of self pay balances according to policies. Prepares cash receipts, bank deposits and balance cash drawer. Assesses and documents general condition of patient including recording chief complaint, vital signs, weight, medications, social history. Promotes patient wellness by providing patient education as directed by the provider. Maintains exemplary patient satisfaction and participates as an engaged team member.

Decision Making: Independent judgment in making minor decisions where alternatives are limited and standard policies/protocols have been established.
