We are looking for an experienced and self-sufficient candidate who is passionate about Procurement and with extensive experience running sourcing exercises, negotiating agreements, as well as running sourcing events that are coordinated amongst multiple stakeholders. The ideal candidate will have procurement experience in facilities / property management categories. The opportunity spans across the organization and will require interaction with employees at all levels. The successful candidate will have strong project management skills, excellent communication skills, can work independently, and possess a strong foundation of Procurement best practices.
As a member of this team, you will be responsible for:
Sourcing & Negotiation: Lead and manage sourcing exercises across a variety of facilities / property management categories (e.g. building maintenance services, consulting, capital expenditures, etc.). Develop sourcing strategies, issue RFPs, evaluate proposals, and negotiate contracts with suppliers to ensure the best value for the organization.Stakeholder Engagement: Facilitate and manage procurement requirements across multiple sites and stakeholders. Act as a trusted advisor to internal stakeholders, providing expert guidance on procurement processes and best practices.Vendor Management: For critical services, build and maintain strong relationships with key suppliers and service providers.Contract Negotiation & Agreement Management: Lead the negotiation of contracts, ensuring terms are aligned with business goals. Collaborate with legal to finalize agreements. Manage the end-to-end process of contract execution and post-award activities.Facilities & Real Estate Procurement (Preferred): Experience in sourcing and managing procurement within the facilities or real estate sectors is highly desirable. This includes managing contracts for office spaces, building maintenance, or related services.Travel Flexibility: The role requires travel to various Oxford sites around the GTA.Issue Resolution & Risk Management: Proactively address and resolve complex procurement challenges, including escalations related to contract terms, supplier performance, or stakeholder requirements. Provide solutions and consult with senior leadership when necessary.RFx Development: Assist in the development of RFx documents, ensuring that all requirements are clearly defined and aligned with business needs. Facilitate the competitive bidding process, ensuring transparency, fairness, and compliance.Cost Savings & Reporting: Record and track cost savings across all procurement activities. Provide regular reporting to senior management on procurement performance, savings achieved, and supplier performance.To succeed in this role, you have:
Minimum of 3 - 5 years’ experience in Procurement or relevant working experience;Excellent communication skills (both written and verbal). Both an excellent listener (listen to learn) as well as communicator (able to inform and persuade);Strong relationship building skills;Ability to communicate with different levels of management with interpersonal and teamwork skills;Able to run an RFx independently, from needs assessment, through RFP, to negotiation and contracting and vendor setup.Oxford's purpose is to strengthen economies and communities through real estate.
