Join our team as a vital player in ensuring accuracy and efficiency in managing hotel room blocks and revenue reconciliation. This role involves a blend of analytical precision, attention to detail, and collaboration with internal teams, external clients, and hotel partners.
Who You’ll Work With
Reports to: Director, Strategic Sourcing
Collaborates with: Travel Buyers, Sourcing Managers, Housing Specialists, clients, and hotel suppliers
What You’ll Do
Audit & Final Pickup Support (80%)
Coordinate audit and final pickup processes with Housing Specialists and hotels.
Schedule city-wide audits and liaise with onsite staff.
Ensure compliance with hotel contract terms, including audit, rebate, and commission clauses.
Reconcile room blocks and revenue with precision, resolving discrepancies promptly.
Prepare and manage data for collection packets and meetings with event teams.
Leverage hotel brand systems to finalize reconciliations and ensure accurate invoicing.
Invoice Adjustments (10%)
Partner with Event Accounting and Commissions teams to reconcile and reissue invoices.
Maintain thorough records and professional communication with hotel partners to resolve post-event adjustments.
General Responsibilities (10%)
Manage and prioritize projects to meet deadlines.
Adapt to shifting priorities with a proactive mindset.
Foster collaborative relationships to achieve department and client goals.
Deliver accurate, organized data and complete additional tasks as assigned.
What You Bring
Education & Experience:
Bachelor’s degree preferred or equivalent experience.
At least 1 year of hotel experience with room block expertise is a plus.
Skills & Attributes:
Strong organizational and data analysis skills.
Proficiency in Microsoft Office and ability to quickly learn new systems.
Proven ability to manage multiple deadlines in a fast-paced environment.
Exceptional interpersonal and professional communication skills.
