The Role
The Speakers Department Coordinator will report to an Executive responsible for the departments contracts and accounting processes. The Coordinator will support the Contracts Team with drafting, editing, and executing speaking agreements, as well as tracking incoming funds and assisting with the internal accounting process to ensure payments are paid and received promptly.
Responsibilities
Draft agreements for a high volume of confirmed speaking engagements and personal appearances
Review, edit and red line agreements as needed
Create invoices and assist in tracking monies owed for each engagement
Create booking reports for each agreement event noting event date, commission, and other payment details
Assist the team with vendor set up and creation with various buyer accounting systems
Provide support across dept. for billing matters and liaise direct with accounting
Work with internal offices, client teams and managers to obtain client materials needed for agreements and payment
Maintain records for clients to ensure the most up-to-date information is available to all members of the dept.
Serve as backup to the Contracts Team when necessary
Other duties as assigned
Qualifications
BA/BS from an accredited University or College or equivalent work experience required
1+ years’ of experience as a paralegal, or strong interest in paralegal work
Background in finance / accounting, or similar interest, a plus
Organized, efficient, and detail oriented, with a sense of urgency
Excellent communication skills (verbal and written)
Experience that demonstrates the ability to multitask and constantly reprioritize workload
Thrives in a fast-paced, high volume work environment
Customer service experience
Microsoft Word, Excel and Adobe Acrobat Pro proficient
Location
This role will be based in our Los Angeles, CA office.
Compensation
The base hourly rate for this position is in the range of $23.00-25.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
