Serves as a primary office support and public contact for assigned areas. Assists Program Coordinators in coordinating services for City based events. Maintains records, processes payments and deposits utilizing accounting and other financial systems and software (i.e. J.D.E., Microsoft, Excel, Access, etc.). This position is responsible for administrative and human resources functions within the Parks and Recreation department, including but not limited to payroll, accounting, budgeting, and payment processing, purchasing, and contracting. You will be sent an eligibility letter regarding your eligible/ineligible status. + WORK EXPERIENCE: The application must clearly show two (2) years of full-time experience in special events (municipal special events experience preferred), customer service, public relations or a related field. (Less than full-time experience will be calculated on a pro-rated basis.) + EDUCATION/TRAINING: The application must clearly show a Bachelor's Degree in Public Administration, Business Administration, Public Relations, Communications or a related field. (See NOTE under the General Application Requirements Section above regarding the verification of education/training). + EQUIVALENCY: Education/training and/or work experience may be substituted on a year for year basis if the application clearly shows the required number of years to meet the Total Qualifying Requirement for this position (based on the sum of work experience and education/training listed above). POSITION DUTIES + Monitors and oversees Trust Fund expenditures and revenues; evaluates and investigates unusual discrepancies and submits adjusting entries as necessary. + Assists Parks Administration team with human resources and payroll functions. + Takes minutes at meetings. + Assists with the entry of bi-weekly payroll for the department using the City's Ceridian Payroll program. + Acts as a liaison to Parks and Recreation personnel and outside agencies, as requested by manager. + Files the necessary paperwork for the administrative office which includes letters, personnel information, etc. + Responds to concerns from the general public via in-person engagements, phone calls and/or email. + Provides clerical support for the Citiparks Office of Special Events. + Handles phone and written correspondence. (Postal mail and e-mail). + Performs a variety of record keeping tasks for City, state and federally funded programs, as assigned. + Works nights and weekends providing on-site event support as needed. + Performs other related tasks and duties as assigned or required.
