Under the general supervision of the Executive Director, Donor Engagement as part of the Providence Office of Philanthropy Donor Engagement team, the Special Events Program Manager manages and executes a portfolio of high-profile events for Providence Inland Northwest Foundation (Spokane, WA) and Providence Montana Health Foundation (Missoula, MT) varying in scope and purpose.
The program manager will work closely with the Chief Philanthropy Officers for both foundations to develop a comprehensive event strategy to support donor cultivation and stewardship efforts including donor salons, lunch and learns, donor appreciation events, campaign events, gift announcement ceremonies, community events, etc.
As the lead for events supporting both foundations, the program manager works directly with major gift officers, donors and volunteers from pre-planning and strategizing through execution and post-event analysis and reporting.
Essential functions of this role include creating event briefs to outline event objectives, planning and implementing all event logistics, creating donor briefing documents in partnership with gift officers, supporting RSVP and attendance tracking, and other data/analytics tracking efforts.
The program manager will also support the Providence Spokane Children’s Miracle Network team with event execution as needed.
**Essential Functions:**
+ Takes a lead role and/or supports the Foundation team in the strategic planning and implementation of event policies and procedures, management and evaluation.
+ Responsible for conceptualizing events to achieve the goals and strategic mission of the Foundation, including larger public events and smaller, private donor events (primarily small, targeted events).
+ Manages and executes all event logistics including, but not limited to, obtaining permits, cost analysis, site selection, vendor selection, budgeting, promotion, solicitation, audio/visual production, event photography, flowers, catering, menus, speakers and seating.
+ Oversees event set up/clean up, staffing, guest registration, run-of-show, ticketing where necessary.
+ Helps to supervise event volunteers, including event committees.
+ Collaborates with Executive Director and Chief Philanthropy Officer to determine budgets and set fundraising goals for events as needed.
+ Drafts all event collateral, invitation and program copy, executive briefings, and annotated agendas. Partners with Donor Engagement Program Manager for communication and promotion efforts.
+ Manages and coordinates the design and creation of all event-related material including save-the-date cards, invitations, programs, sponsor letters, volunteer job descriptions, signage, memos, registration material, auction related material, name tags and all other event related items.
+ Takes initiative to troubleshoot and problem solve event challenges and exercises good judgment to include superiors when needed.
+ Holds deadlines in high regard and reports the status of priority tasks in between team meetings if necessary.
+ Plays an active role in the synergy of the Foundation teams by working together to create a supportive, creative and productive environment.
+ Attends and contributes to Foundation team meetings for both foundations.
+ Works closely with development staff and database manager to create criteria for mailing lists for each event and oversees the process to finalize the list and execute mailings.
+ Prepares and creates statistical analysis, customized reports, and spreadsheets as needed to report on the effectiveness and ROI of events.
+ Works with gift processing to draft tax acknowledgment letters for events as needed.
+ Tracks event gifts including sponsorship, in-kind gifts, ticket sales and donations received through events as needed.
+ Participates in donor engagement team meetings, including meetings with event counterparts system wide.
+ Responsible for implementing event best practices led by Executive Director, Donor Engagement.
This is a hybrid position based in Spokane, Washington. The program manager will be expected to work on-site part time with the flexibility to also work from home. Some travel between Spokane and Missoula will be required.

**Required Qualifications:**
+ Bachelor's Degree or equivalent education/experience
+ 4 additional years of relevant work experience
+ 5 years of relevant work experience, preferably in a non-profit setting
**Preferred Qualifications:**
+ 5 years of experience in implementing special events, meetings and/or conferences preferably in a non-profit or healthcare setting
