Specialist, Accounts Payable

The Accounts Payable Specialist is responsible for timely and accurate processing and control of accounts payable (AP).

Main Duties and Responsibilities:

Ensures timely and accurate processing and entry of vendor invoices.Working knowledge of accounts payable procedures.Processes purchase order invoices.  Matches price and quantity on the invoice and purchase order.Process utilities for locations.Responsible for setup and maintenance of vendors.Manage a high volume of AP mailbox and ensuring queries are responded to in a timely and professional manner.Receives and handles vendor calls on a regular basis.Reconciles statements from vendors and researches problems with invoices and receipts as needed basis.Responsible with the unclaimed property files for the Accounts Payable department.Support external and internal audit and reporting requirements.Performs Accounts Payable Operations special projects as assigned.Support the annual 1099 reporting process.Assists with monthly AP close.Assists with research on AP aging items and Goods-Receipts-Not Invoice accountsAssists with the escheatment process by researching to ensure checks are outstanding.  Liaises with third party vendor for filing.Ability to work independently and take initiative.Ability to multitask and follow up on pending issues.Ability to understand basic accounting concepts.Great attention to detail and accuracy.QualificationsEducation:High School DiplomaSome Accounting classes is preferred.Work Experience:3 years of accounts payable processing experienceMicrosoft Excel and Word Skills requiredExperience with SAP a plusTechnical Skills: (Certification, Licenses and Registration)NoneLanguage / Communication Skills:Effective oral and written communication skillsMust have the ability to communicate and disclose data in an accurate mannerJob DimensionsGeographic Responsibility: USType of Employment: Full TimeTravel %: 0%Exemption Classification: Non-ExemptInternal Relationships: employees at all levels of the organizationExternal Relationships: vendorsWork Environment / Requirements of the Job:Completeness, accuracy, and timeliness of invoice and payment requisition processing and remittance on an established daily and monthly scheduleNormal office environmentBudget / Revenue Responsibility: (Local Currency)Organization StructureDirect Line Manager (Title): Manager, Finance, Accounts PayableDotted Line Manager (Title, if applicable):  0Number of Direct Reports: 0Number of Dotted Line Reports: 0Estimated Total Size of Team: 5gategroup Competencies Required to be Successful in the Job:Thinking – Information Search and analysis & problem resolution skillsEngaging – Understanding others, Team Leadership and Developing PeopleInspiring – Influencing and building relationships, Motivating and Inspiring, Communicating effectivelyAchieving – Delivering business results under pressure, Championing Performance Improvement and Customer FocusDemonstrated Values to be Successful in the PositionEmployees at gategroup are expected to live our Values of Excellence, Integrity, Passion and Accountability.
