Specialist Accounting - Merchandising

Purpose

This position is responsible for the workflow process of vendor accounts payable functions including receiving and matching invoices through the project management system and/or when submitted manually, account coding and accounts payable recordkeeping. Additionally, the position may be responsible for the maintenance of project budget checkbooks, budget files, collection of hourly staff manual timesheets for capital labor coding and tracking of credit card expenses related to the existing stores/new stores projects. The incumbent will function as a vital business partner to the departments within New Stores & Visual Merchandising.

Minimum Eligibility Requirements

Bachelor’s degree (relevant experience can be substituted for the required education on the basis of one calendar year of experience for one academic year of education)Five years of relevant experience required or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the companyStrong problem-solving, research and resolution skillsExcellent organizational and communication skills (verbal & written)Strong computer skills including Microsoft Office SuiteExperience managing schedulesMust be detail oriented and organizedMust possess excellent customer service skills and work well under pressureAbility to multi-task, meet deadlines, and work in a fast-paced environmentCoupa and/or Anaplan experience is a plus

Essential Job Functions

Facilitates communication and follow through with project related tasksCommunicate across the organization to ensure that timelines are clear and attainableProvide follow up on orders to assist project execution teamAssist in the establishment of policies and procedures that streamline the various project-based functions of the New Stores & Visual Merchandising teamOversight of the procurement process - to include order placement, fulfillment and analysisCreation of requisitions in FiNDit Procure to Pay System ensuring proper account coding and order accuracyAssists with Project Budget Preparation - annual budget process and new projects as proposed throughout the yearAssists with forecast preparation and conducts regular financial reviewsConduct variance analysis as well as create ad hoc reportingPO/Invoice Submittal and or Follow Up SupportFinance Monthly Tracker; advising business areas leaders of where the department stands with updates on overall spendProvides Project Request Finance Support; offering insight regarding funds availability and potential challengesAssist our internal customers regarding to financial expenditure inquiries affecting their departments when related to the projects managed by NSVMReconcile vendor statements, research and correct discrepanciesAssist with month-end closing procedures and quarterly forecastingMaintain files and documentation accurately in accordance with company’s policy and accepted accounting practicesPrepare other schedules, account analysis, worksheets and projects as assignedPerform special projects and other duties as assigned

Working Conditions (travel, environment)

Limited travel required including air and car travel

The noise level in the work environment is typically quiet to moderate.

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
