PRIMARY PURPOSE The Billing & Collections Specialist is responsible for the billing & collections process and overall cash management of an assigned book of business. This position is responsible for handling all internal and external correspondence related to their assigned accounts while ensuring excellent customer service. Essential Functions Responsible for billing, collection, and management of the assigned portfolio Audit invoices, validate pricing, services, accurate taxes, ancillary charges, and overall accuracy of invoices Upload invoices into a 3rd party portal and track invoices until paid Create consolidated spreadsheet billing per the customers’ requirements Provide reconciliation of customer accounts and resolve outstanding balance issues. Identify and submit credit memos Establish relationships with customers to encourage ability to invoice and faster pay Communicate and follow up effectively with the sales department regarding customer accounts on a timely basis Enlist the efforts of sales and senior management when necessary to ensure timely billing and collections Work with other departments to correct errors and update orders Partner with third party collection agency when necessary Partner with the legal team on accounts where the customer filed for bankruptcy Suggest account adjustments, small balance write-offs, and escalate uncollected balances for write offs SUPERVISORY RESPONSIBILITIES This position has no supervisory responsibilities. Qualifications QUALIFICATIONS EDUCATION Min/Preferred Education Level Description Minimum 2 Year/ Associate Degree Accounting, Finance, or a related field, or an equivalent combination of education, training, and experience EXPERIENCE Minimum Years of Experience Maximum Years of Experience Comments 4 Accounts Receivable and collections required.
