Coordination
Take part in below project management phases:
Conception, Initiation and Planning Implementation, Execution and Performance Project CloseGather all information needed for a project assigned as per work instruction or scope of work and execute as necessary. This primarily includes:
Checking all necessary documents needed to proceed in processing the tasks Creating and managing records in Quickbase, Oracle, My Print Central or any related tool for support Sending all necessary information to all involved parties (internal or external) that may include forms such as registration forms, flyers, quotations, bid forms Identifying the required or requested service Notifying all involved parties – external or internal of the status of each project Processing invoices, payments, purchase orders and proper bill out Keep track of the records for each account and making it updated Provide reports such as but not limited to exit reports, certificates, forecast and other project delivery support documents.Build relationship with Project Lead, Contractors, Field Service Technician, Sales personnel, Customers, technical support, project engineers, customer service, and all involved parties to facilitate successful deliver of projects. Maintain self’s proficiency with Cold Chain Products and Services through self-paced learning platform Performs other functions as may be deemed necessary by and needed to deliver the output guided by the company’s vision, mission and employee policiesPhone and Email Support
Provide support to internal and external customers through phone and email channels within the Service Level Agreement.On-Time Delivery
Meet timelines associated with the tasks in an on-time manner and within quality standards.Documentation
Document all necessary instructions per functions and keep the existing updated.Log Activities
Log all activities regularly and accurately in QuickBase or in Time.JOB SPECIFICATIONS
EDUCATIONAL BACKGROUND
Graduate of any 4-year business discipline courseWORK EXPERIENCE OR TRAINING
At least 1-year experience in project coordination/ administration, collections and customer service is required Experience gained from supply chain, engineering and manufacturing related business, plant operations is a plus.SKILLS AND ABILITIES
Excellent written and spoken English communication skills Attention to details and strong organizational skills Proficient in MS Office Applications (Excel, PowerPoint, Project) and other Business Systems and Tools Prior experience with QuickBase is a plus Ability to make decisions in solving issues and concerns Ability to assume cross-trained function in the event of low utilization Ability to assume back up functions in the event of skills and capacity constraints Ability to build long lasting relationships with internal and external customersOTHER WORK CONDITIONS
