Specialist Representative, Customer Service and Support

This position is responsible for handling more challenging work in logistics documentation, which includes but not limited to new hire mentoring, new requirement implementation, reports management, process improvement, and super back-up in the team etc.

Roles & Responsibilities

Handle more complex origins and tasks in the team. Super back-up in the team when workload increases, or HC is in short.  Pilot to handle new system, new requirement, new process and projects.  Coach new hires on operation knowledge and skill. Assist team lead to monitor daily operation status. Professional and comprehensive in account knowledge for all regions. Seek improvement opportunities, do case sharing and organize trainings to team.  Initiate lean projects to improve process and efficiency and share with team. Offer cross support to another sections/department when necessary.

 

Daily Activities 

Responsible for the day-to-day coordination of customer shipments and ensure that customer’s requirements are met. Provide account with cost effective shipment plan via booking authorization. Book approved shipment with nominated carriers. Plan consolidated shipments and coordinate with warehouse on cargo deliveries. Update ACS123 system and coordinate with GSC for EDI and ASN transmission. Provide updates to shippers for any carrier related changes in the booked vessel. Process payment request for carrier origin charges and vendor invoices Monitor release of payment to carriers and vendor Provide proof of payments to carrier and secure SWB. Release non-negotiable FCR and BL to vendor to docs processing. Receive and check docs for accuracy and completeness before dispatching. Coordinate with manager/team leader daily issues that may affect shipment (late deliveries or documents/inaccurate final booking details/carrier or      warehouse problems) Report local issues that may affect shipment to consignee (non-compliant vendors/carrier space/ or docs problems/delayed vessel etc). Provide account with required reports (Daily booking report / tonnage/allocation/docs log control/vendor-compliant/monthly invoice summary, etc. as needed by the account) Provide customers with updates related to their shipments. University graduate 2 years’ and above working experience in Logistics industry.  Commitment to Tasks Detail oriented Computer Literate Good oral and written English  Good problem-solving skills including hidden problems. Good mentoring and communication skills. Good excel skill. Strong sense of responsibility. Efficiency, accuracy and timeliness are required. Capable at task monitoring by reports. Fast learner and pressure taking ability. Innovative thinking and strong team spirit.
