Sr Executive Assistant - Legal - Full Time - Days

REPORTING RELATIONSHIPS
This position has no direct reports.
POSITION SUMMARY
Perform diversified administrative/secretarial duties for ProMedica in-house attorneys and staff. Maintains a close and highly responsive relationship to the day-to-day activities of the staff. Deals discreetly with sensitive, confidential information.
ACCOUNTABILITIES
Draft, type, proof a variety of materials: e.g., correspondence, manuscripts, reports, charts, minutes of meeting, etc. Edit and make copies. Collate and assemble reports and documents.
Coordinate schedules for in-house attorneys, staff and Executive’s appointments. Schedule committee meetings and arrange for rooms. Take and type minutes of meetings.
Make travel arrangements for Executive, in-house attorneys and staff, order tickets, make and confirm lodging and airline reservations, car rental, prepare travel and expense reports.
Order and maintain office supplies. Keep expense records. Maintain department budget records.
Provide research and administrative support on special projects.
Open, review and distribute interoffice and external mail. Bring priority items to in-house attorneys, staff and Executive’s attention. Respond to correspondence on own initiative. Answer office phone, screen and direct calls.
Schedule and greet office visitors.
Maintain department records and files.
Attend meetings as required.
Provide administrative support for special projects as requested.
Other duties as assigned.
REQUIRED QUALIFICATIONS
Education: High School Graduate
Skills: Must be able to type 50 wpm and be proficient in Microsoft Office Suite (PowerPoint, Word, Excel). Requires excellent interpersonal skills.
Years of Experience: 5+ years clerical/administrative experience.
PREFERRED QUALIFICATIONS
Certification: Notary
