Sr Service Delivery Specialist

JOB OVERVIEW – SCOPE & PURPOSE

Reporting to the Senior Service Delivery manager based in Jeddah, the position is an extension of the OCS function in-market in KSA. The position will be primarily accountable for the end-to-end management of KSA inventories that are sourced from PMI factories based on specific requirements, their proper inventory management until onward replenishment (stock issuance) of these inventories to first customers (distributors) against specific service replenishment orders. In doing so, the position will comply with standards, requirements and targets set out for the in-market Service Delivery operations in KSA by the Manager Service Delivery.

 

PRINCIPAL ACCOUNTABILITY AREAS:

OVERALL E2E OPERATIONAL SUPERVISION– Overall, oversee the end to end inward and outward inventory movement by facilitating, managing and monitoring all inter-connected activities of the KSA’s supply orders including order creation / submission to receiving, registration (book keeping/ inventory systems), warehousing & storage as per PMI SOP’s (Standard Operating Procedures) with ensuring maximum utilization of technological and human resources of the bonded and domestic warehouses. The position should ensure the continuity of the assigned processes and standards to onward shipment/delivery of the Finished Good products to its primary (defined) customers.  PLANNING, ORGANIZATION & COORDINATION - Organize and coordinate all the sequences of execution requirements for the entrusted bonded warehouse operation as per the onward shipment plans. In doing so, the position will be coordinating and communicating in close collaboration of (and not limited to) the Line Manager (Manager Service Delivery), extended Operations Customer Services team including IBP executive, IBP Manager, and other collaborative functions including Finance and Commercial teams. REGISTERING AND INVENTORY MANAGEMENT - Ensure properly documented and accurate records of Finished Good product movements in accordance to prescribed Service Delivery scope in addition to any applicable local legal requirements of the country of operation and PMI Company Standards this will include all physical and systems records / transactions. PMI SOP’s (Standard Operating Procedures also apply.REPORTING, ANALYSIS & COMMUNICATIONS - Ensure full compliance with prescribed reporting procedures (physical / systems) and be the focal point of contact as key representative of the entrusted bonded warehouse operations for necessary information as needed / requested by all relevant departments / collaborators whether regular (established per aligned frequency), or adhoc. This includes day to day communications (emails / teams / calls) as may be needed by Line Manager, extended Operations Customer Services team including IBP executive, IBP Manager, and other collaborative functions including Finance and Commercial teams. The position will also be responsible for tracking and reporting the assigned KPI’s. WAREHOUSING PROCESSES ADHERENCE - The position will be responsible for self and his/her teams to ensure good knowledge, capability and cascading of PMI SOP’s (Standard Operating Procedures also apply) that should be always upheld to all aspects of the entrusted bonded warehouse operation. WAREHOUSE RESOURCE & ASSET MANAGEMENT – In addition to upholding PMI SOP’s (Standard Operating Procedures), the position is responsible for the overall facility management including good and safe keeping of all provided operational assets (hardware, equipment, printers, laptops, connections, scanners, forklifts, stationaries, any other tools, etc.) that are intended for work purposes only. The position should periodically assess any maintenance needs and oversee budgeting and reporting of any business continuity expenditures. PEOPLE MANAGEMENT- The position will be responsible for setting out the daily work performance requirements for his/her team members. Additionally, the position will be directly responsible for the overall safety and well-being of his/her assigned team members including alignment of workdays, hours and lunch / prayer breaks. This should follow the local prevailing laws. The position should periodically assess his/her teams developmental needs as per any gaps and ensure proper training, knowledge and/or capability building deemed critical for his/her team to perform the assigned tasks.  COMPLIANCE/ ENVIRONMENT, HEALTH AND SAFETY - The position will be responsible overall for ensuring a conducive work environment for self and his/her team that is safe, clean and hygienic. This shall entail following all local regulations, policies and procedures as may be applicable for the environment protection, health, and safety. Adequate and frequently updated knowledge of safety and security to be maintained. This should also include periodic audits of safe behavior, risk assessment, potential hazards checks, first aid trainings and other programs aimed at ensuring a safe working environment.DIGITAL TAX STAMP (DTS) ORDER PROCESS– The position will be responsible for collaborating closely with the KSA IBP Executive to receive requirements of DTS stamps that need to be ordered on the DTS system for KSA. The position will place the orders as per instructions / guidance received / sought from the KSA IBP Executive for the required quantities/products to the planned DTS manufacturing site. Accordingly, the position is responsible for maintaining good tracking of placed DTS orders for the market and secure, up to date access credentials to the DTS system. The position will also ensure that the DTS software version is always up to date and synchronized – DTS system trainings will be provided. SYSTEMS & INTERFACES – The position will be trained and responsible for mastering the use of specific SAP inventory modules that will define and govern the digital / system scope of Finished Good product movements pertaining to the bonded warehouse, including registering / booking of incoming inventories, application of the FIFO rules to inventory depletion / issuance of outbound inventories, use of quarantine holds / restricted bins as and when needed, AND customer delivery / invoice related transaction. This will be further complemented by PMI’s SOP’s (Standard Operating Procedures). Additionally, the position will also be responsible for operating enterprise systems that will primarily include the INEXTEND Track&Trace applications and scanner hardware, for which trainings will be provided.  EXTERNAL PARTY DEALINGS – The position will be entrusted with dealings with external parties that will include (but not limited to) the primary customers (distributors), clearing / forwarding agents, contracted laborers, port authorities, LSP and/or any other 3rd parties/contractors that are not part of the KSA organization, yet considered important collaborators in relation to the receipt of incoming FG product supplies and outbound customer deliveries. Security guidelines as per market safety & security apply in addition to PMI’s SOP’s (Standard Operating Procedures) with specific regard to controlled and authorized access to domestic and bonded warehouse.
