Sr. Administrative Assistant, Slots

Under the guidance of the Supervisor Administrative, the Senior Administrative Assistant enhances the department's efficiency by carrying out moderately complex administrative tasks that require awareness, initiative, and autonomy. This role supports Slot leadership and team members and is accountable for executing a diverse array of office support tasks, including project-based assignments.

Essential Duties & Responsibilities

1. Provides administrative support to department leadership by performing administrative functions necessary to ensure efficient operations. Maintains records and ensures confidential information is held securely.  Inputs, tracks, and files records for department team members. Receives and distributes important information to leadership and team members

2. Prepares and monitors payroll reporting. Assists with payroll responsibilities, which includes entering daily codes, daily review of hours worked, and auditing. Maintain all information entered onto department databases, including variances, leave of absence, and department payroll compliance tracking. Provides and follows up on reports to department leadership.

3. Inputs, tracks, and maintains slot gaming machine file paperwork into an electronic filing system for all slot machines for regulatory compliance. Creates and deploys all Slot machine identifiers for asset inventory control. Organizes documentation to prepare the department for internal and external audits.

4. Perform daily audits of asset records to ensure inventory accuracy. Identify and report any discrepancies to management. Collaborate with the team to streamline storage processes and serve as a liaison to pinpoint areas for improvement.

5. Maintains department office supply inventory and places orders as needed. Enters and follows-up on work orders and maintenance requests as they pertain to office needs.

6. Performs other duties as assigned to support the efficient operation of the department.

Education/Experience/Qualifications

High School diploma or GED is required.

Associate degree or equivalent in computer software and/or business administration classes preferred.

Minimum five (5) years of related administrative and/or is required. Casino experience is preferred.

Intermediate proficiency in Microsoft Outlook, Power Point, Word, and Excel required.

Must be able to navigate and use the internet for projects.

Proactive and resourceful; Ability to work autonomously.

Polished and professional demeanor in person, online and via phone with exceptional verbal and written communication skills, including strong spelling and grammatical skills.

Highly organized with strong strategic prioritization, planning and time management skills including ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround is essential.

Demonstrates the ability to exercise utmost discretion with confidential information including but not limited to, credit card information, personnel, and department data.

Employee must have experience demonstrating the utmost discretion and confidentiality as they will have access to confidential information including, but not limited to customer contact information, customer financial data, and organizational financial data.

Certificates/Licenses/Registrations

At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

A qualified candidate/employee must have a valid driver’s license with an acceptable driving record as determined by the company’s insurance carrier.
