Job Summary:
The Sr Administrative Assistant (SAA) provides day to day administrative support to two Vice Presidents (VP Biopharma Product Innovation and Analytics and VP Strategic Execution and Operational Excellence) to support the smooth operational execution of the business units. As the SAA, you are highly organized, respect confidentiality, proficient with technology, manage and prioritize many activities, requests, and reoccurring tasks. You have a strong attention to detail, learn quickly and are diligent in your delivery of services.


Section A – Specific Responsibilities:
• Strategic executive calendar management considering long-term planning, key events, deadlines, and overall vision of business unit.
• Work collaboratively with SAA’s from other departments to ensure executive calendars and meetings are well coordinated
• Arranging meetings internally and externally; ensuring agendas are prepared and deliverables executed by VP and direct reports.
• Attend internal meetings as required to assist with preparation and capture action items.
• Monitoring, responding, and tracking information requests received from Senior Leadership Team and Stakeholders
• Reserve on-site office spaces and meeting rooms.
• Event Management; including venue selection, catering and attendee logistics.
• Key role in delivery of documents; drafting, formatting, and editing communications, templates, and presentations.
• Supporting administrative functions including tracking, reconciling, and consolidating data.
• Arrange travel, hotel, and car reservations and prepare itinerary, both US and domestic to ensure time and cost effectiveness for VPs. Work proactively to ensure all supporting documentation is gathered and provided in advance so that VPs are fully prepared.
• Prepare monthly expense reports for VP’s and manage report approvals for their direct reports.
• Support new employee onboarding.Main point of contact and liaison between business units assisting with planning, coordination, and projects
• External contract maintenance using Adobe and internal tracking software.
• Submitting and following up on internal processes including email distribution lists, IT and HR Requests
• Overseeing VP and the larger teams’ completion of mandatory trainings
• Ordering supplies and processing vendor purchase orders
• Required to be onsite for client meetings.
• Other Duties as assigned.

• Completion of post-secondary diploma or degree in Administration
• Minimum of five (5) years experience in a similar administrative setting
• Exceptional organizational and time-management skills
• Strong attention to detail
• Excellent computer skills including Microsoft suite of products (Including Outlook, Word, Excel, PowerPoint, Visio, Teams and OneNote)
• Manage and prioritize many reoccurring and ad hoc tasks adhering to strict deadlines and high level of confidentiality.
• Ability to work under pressure while maintaining consistent flexibility.
• Display a high level of critical thinking.
• Demonstrated business professionalism, respect for confidentiality, and appropriate handling of sensitive information.
• Ability to support senior leaders in multiple locations.
• Availability to work remotely as well as in a busy, open area office which may result in interruptions.
• Capacity to work both independently and as a strong team player, demonstrating flexibility, adaptability, and responsiveness.

The pay range shown below is aligned with McKesson's pay philosophy, and pay will always be compliant with any applicable regulations. Our Base Pay Range for this position

$46,100 - $76,800
