Sr. Administrative Assistant
Description We are offering a contract to permanent employment opportunity for a Sr. Administrative Assistant in Pleasanton, CA. The role involves managing executive calendars, coordinating meetings and events, and supporting the executive team. The assistant will also be responsible for supporting the Operations department, managing tradeshows, and handling sensitive information with discretion. This position is fully onsite, M-F 8AM-5PM. Sr. Administrative Assistant Responsibilities: • Oversee executive calendars, including scheduling appointments, meetings, and travel arrangements. • Facilitate internal and external meetings, conferences, and events. • Maintain accuracy and integrity of customer and prospect databases. • Collaborate with sales and marketing teams to organize promotional activities and events. • Support facilities management and function as a backup shipper when necessary. • Manage the operations of Education Labs, including surgeon travel, lab inventory, and setup. • Handle basic administrative tasks such as maintaining office supplies, distributing mail, and greeting visitors. • Ensure confidentiality and handle sensitive information with discretion. • Assist in special projects and initiatives as assigned. • Perform other duties as assigned. Requirements • Demonstrated experience with Concur software for travel and expense management • Proficiency in using CRM systems to manage customer relationships effectively • Familiarity with About Time software for time and attendance tracking • Experience in managing and understanding budget processes • Excellent calendar management skills, including the coordination of complex executive meetings • Strong communication skills, both written and verbal • Experience in coordinating and managing conference calls • Previous involvement in organizing tradeshows and events • Proficiency in Google Suite, including Docs, Sheets, and Slides • Experience in Salesforce environments to support sales operations • Experience with conference room setup and cleanup, ensuring a detail oriented and organized environment for meetings.
