About the Role

Workday is looking for a Sr. Associate Procurement Specialist to report into the Manger, Procurement Concierge. This person will be accountable for facilitating the procurement process by conducting project intake, holding calls when necessary, initiating supplier onboarding, routing contracts for signature, supervising project aging reports and providing a high level of customer support. The workmate will serve as the first point of contact for internal and external customers to the Global Procurement Office; striving to provide outstanding customer service in every interaction.

Responsibilities

Knowledge of Workday’s Source to Pay processes and Procurement systems; identifying opportunities for improvement

Follows Standard Operating Procedures and Desktop Instructions to ensure quality and consistency

Due diligence involving analysis of past requests, cross validation of financial records involving PR’s and PO’s, validating and matching appropriate supplier records utilizing commercial markers, etc.  Completing calls with business requesters to ensure all vital information is captured accurately in Workday Strategic Sourcing (procurement system). Intake calls are leveraged as an opportunity to provide training, process transparency, and clarify details of submitted intake projects

Initiate onboarding with new suppliers, review information for completion and build supplier account within Workday, partnering with Accounts Payable team

Facilitate routing contracts for signatures. Build and manage supplier and contract records in contract repository

Supervise project aging reports, identifying those which are at risk to exceed SLAs, and following up with stakeholders to promote progress

Assess the training needs of internal customers, support in developing/improving training materials, and deliver effective training programs

Build strong and productive working relationships with internal GPO stakeholders, business partners, and supplier contacts

Workday busca un especialista asociado sénior en Compras que dependa del gerente de la Asistencia de Procurement. Tendrá la responsabilidad de facilitar el proceso de compras y llevar a cabo la admisión de proyectos, realizar llamadas cuando sea necesario, iniciar la incorporación de proveedores, enviar los contratos para su firma, supervisar los informes de antigüedad de los proyectos y proporcionar un alto nivel de atención al cliente. El Workmate actuará como el primer punto de contacto de los clientes internos y externos de la oficina de Global Procurement, y deberá procurar ofrecer un servicio al cliente excelente en cada interacción.

Responsabilidades:

Conocimiento de los procesos Source to Pay de Workday y de los sistemas de compra; identificación de oportunidades de mejora.

Seguir los procedimientos operativos estándar y las instrucciones de escritorio para garantizar la calidad y la coherencia.

Diligencia debida que implica analizar solicitudes anteriores, realizar una validación cruzada de los registros financieros relativos a pedidos de compra y órdenes de compra, validar y cotejar los registros de proveedores adecuados mediante el uso marcadores comerciales, etc. 

Realizar llamadas con los solicitantes de negocios para asegurar que toda la información vital se capture con precisión en Workday Strategic Sourcing (sistema de compra). Las llamadas de admisión se aprovechan como una oportunidad para ofrecer capacitación, transparencia en el proceso y aclarar los detalles de los proyectos de admisión enviados.

Iniciar el proceso de incorporación de nuevos proveedores, revisar la información para completarla y crear una cuenta de proveedor en Workday, en colaboración con el equipo de Cuentas por pagar.

Facilitar el envío de los contratos para su firma. Crear y gestionar los registros de proveedores y contratos en el repositorio de contratos

Supervisar los informes de antigüedad de los proyectos, identificar los que corren el riesgo de superar los acuerdos de nivel de servicio y realizar un seguimiento con las partes interesadas para promover el progreso.

Evaluar las necesidades de capacitación de los clientes internos, ayudar a desarrollar y mejorar el material didáctico e impartir programas de capacitación eficaces.

Establecer relaciones de trabajo sólidas y productivas con las partes interesadas internas de GPO, los socios empresariales y los contactos de los proveedores.

About You

Basic Qualifications

3+ years of experience in Procurement, Operations, or business related fields

3+ years of customer service experience, help desk experience preferred

Other Qualifications

Knowledge of the Source to Pay processes

Excellent communication and interpersonal skills

Strong planning, organizational and time management skills

Ability to multi-task with the agility to change direction quickly and often

Detail oriented with strong analytical and problem-solving skills

Proactive, result oriented, with a can-do demeanor in meeting critical deadlines

Determined, able to work independently while staying connecting with the greater team

Experience with the following tools are a plus: Workday Strategic Sourcing (WSS), Workday Tools, Outlook, Microsoft 365 Suite, Slack, Other S2P products

Cualificaciones básicas

3 años o más de experiencia en Compras, Operaciones o en un ámbito relacionado con los negocios.

3 años o más de experiencia en atención al cliente, preferentemente en un centro de ayuda.

Otras cualificaciones

Conocimiento de los procesos Source to Pay.

Excelentes habilidades interpersonales y de comunicación.

Gran capacidad de planificación, organización y gestión del tiempo.

Capacidad para realizar varias tareas en simultáneo y cambiar de dirección con rapidez y frecuencia.

Orientación al detalle y sólida capacidad analítica y de resolución de problemas.

Ser proactivo, orientado a los resultados y capaz de cumplir plazos críticos.

Ser resuelto, capaz de trabajar de forma independiente, pero sin dejar de conectar con el equipo en general.

Se valorará positivamente la experiencia con las siguientes herramientas: Workday Strategic Sourcing (WSS), Workday Tools, Outlook, Microsoft 365 Suite, Slack u otros productos S2P.
