Sr. Executive Assistant 

     

PURPOSE 

 

The primary responsibilities of this role, Sr. Executive Assistant, are to perform various administrative duties for senior leaders in the Product Supply (PS) North America organization under limited supervision and acting on own initiative. Assignments generally involve work of a confidential nature and require a thorough knowledge of the practices and procedures of the function, company products, policies and programs. Moreover, the role will support horizontal alignment across topics and will be responsible to drive special projects / tasks that may become the (temporary) focus in alignment with senior PS leadership. The role will collaborate with (senior) leaders in the organization. 

 

Product Supply North America encompasses the end-to-end value chain for consumer health products including supply and demand, production, distribution and logistics, project management, digital supply chain excellence, customer logistics, and order-to-cash.  

 

TASKS  

Assembles and analyzes information; prepares reports, manuals, agendas, correspondence and memorandum as guided by general company practice;  

Establishes and maintains departmental databases and develops spreadsheets of importance to department;  

Assists in meeting planning and preparation work needed, i.e., drafting agendas, presentations and broader communications;  

Coordinates details of departmental meetings and/or on and off-site conferences and events; Prepares materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combines materials from several sources;  

Organizing and facilitating monthly project meetings, including sending invitations and preparing the agenda by consulting with key stakeholders 

Drives special projects / tasks as per alignment with senior PS leadership 

Collaborates with (senior) leaders to develop content, optimize processes and support decision making  

Coordinates horizontal topics across different NA PS teams  

Support managing and maintaining resource allocation, utilization, and overall capacity in Project Management for each category 

Entering approved PJRs and scope into Synapse and PS Innova to kick off projects 

Manages business travel arrangements;  

Maintains organizational charts and updates email distribution lists; 

Coordinates activities across departments and follows up to ensure that requests are carried out  

Processes expense reports and payment of invoices; 

Interfaces with other assistants to share and coordinate workload;  

Creates and Tracks Purchase Orders (POs) and Internal Payment Demands (IPDs); 

Maintains Resource Contact Sheet to keep information accurate;  

Performs additional accountabilities as required. 

 

Scope: Regional  

 

Required Qualifications:  

Proficiency in PC applications such as Word, Excel and PowerPoint;  

Ability to manage multiple competing priorities;  

Strong interpersonal skills;  

Highly organized;  

Able to work with employees at all levels of the organization.  
 

Preferred Qualifications:  

High school degree with a minimum of 10 years’ relevant experience or Associate’s degree with 8 years’ relevant experience.
