Position Summary
An analytically oriented individual to assist in the implementation and maintenance of HIM systems and processes. Provide support in the areas of process redesign, revisions of policy and procedures, develop and implement training curriculum for all functional areas within Health Information Management. Provide training and support to White Plains Associates (internal and external to HIM) regarding HIM systems and processes. Assist in the identification of enhancements to HIM systems and processes. Monitor the integrity of information captured in HIM systems and through manual processes to support HIM operations in an efficient and effective manner; such tasks include but are not limited to: Chart Correction, Chart merging, Document scanning. Perform documentation and data compilation for reviews and audits and submit requests. Reaches out to system users for corrective actions and reports findings to HIM Management. Assist in the development and implementation of corrective measures to ensure system integrity and operational efficiency. This position supports the operational, analytical and technical aspects of Health Information Management functions to a diverse audience.
Essential Functions and Responsibilities Includes the Following:
1. Understands and adheres to the WPH Performance Standards, Policies and Behaviors.
2. Assist in the development and deployment of project plans for HIM systems and processes.
3. Maintain documentation of inventory forms, imaging specifications and monitor forms for adherence to imaging requirements.
4. Performs documentation integrity functions, such as chart corrections, scanning corrections, record merging.
5. Assist in the development and documentation of policies and procedures to support HIM operations for training curriculum
6. Assist in the development of a training curriculum that supports policies and procedures.
7. Conduct orientation and training sessions on systems and processes
8. Assist HIM Managers in the development of operational monitoring tools for respective functional units.
9. Monitor quality and consistency of data feeds during all phases of system support (implementation, maintenance and upgrades).
10. Work closely with HIM System Administration Staff to ensure the integrity of systems and processes
11. Serves as a resource to departmental management and staff in finding innovative ways to use automated systems to resolve operational issues / barriers.
12. Maintain current working knowledge of systems and utilization of departmental operations
13. Actively involved in the planning, testing, and installation of new features
14. Performs patient documentation review and auditing
15. Employs good communication methods with all parties.
16. Performs all other related duties as assigned
Education & Experience Requirements
1. College graduate, a minimum associate degree preferred or equivalent certification.
2. Knowledge of healthcare operations preferred with expertise in HIM Processes/ Standards/ Systems and workflow
3. Excellent communication and writing skills with the ability to communicate and document Policies and Procedures and training plans.
4. Knowledge of computer systems and the impact of workflow processes, including Desktop Applications: Microsoft Word, Microsoft
5. Excel, Microsoft PowerPoint, Microsoft Access, Microsoft Project
6. Knowledgeable of Project Work Plans and Ability to Generate Deliverables and design operational and statistical reports
7. 2–3 years of progressive experience in a complex healthcare or other related environment or satisfactory combination of education/knowledge/experience

Physical/Mental Demands/Requirements & Work Environment
• May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) database and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS database can also be found on the hospital switchboard, saved on a disc.

• Must be able to communicate to physicians and other hospital employees regarding requests for information and assist physicians with basic chart completion and correction procedures.
