This position is part of the Interdisciplinary Collections Cataloging unit and the Acquisitions team. The individual will be responsible for processing various library materials, including books and media, for Richter Library's general collections and other specialized libraries. Responsibilities include copy cataloging new and older materials, assisting with the withdrawal of library materials that are no longer in use, and distributing cataloged materials among staff and libraries. The individual will also participate in special departmental projects as needed. Additionally, this individual will support the Acquisitions team in managing librarians' orders for books and other resources, including purchase requests from Special Collections, the Cuban Heritage Collection, library branches, Interlibrary Loans, and Course Reserves. They will also assist in loading electronic records from vendors and helping process invoices for payments.

This is a full-time position that requires working during regular business hours.

ESSENTIAL DUTIES & RESPONSIBILITIES

Interdisciplinary Collections Unit (60%); Acquisitions Unit (40%)

Materials Processing

Coordinates the daily workflow of materials from multiple departments and processes them with minimal supervision.Produces call number labels and applies them to the correct library materials.Identifies and corrects discrepancies in metadata, including description, classification, and subject assignment.Creates specialized labels for specific book collections.Checks the status, call number, and location of books as a final check for errors.Applies property stamp and inserts security strips for books.Routes books to appropriate destinations within the library.

Copy Cataloging

Searches for usable bibliographic records in OCLC Connexion to import into our local catalog.Catalogs and upgrades minimal-level records for new and retrospective library materials (mainly books) for multiple libraries.Assists with retrospective conversion activities and cataloging quality control projects.

Administrative and other responsibilities

Maintains and inventories technical processing supplies.Withdraws library materials as assigned.Review, assign, and distribute incoming material to staff and other libraries or units.Participates in assigned special projects to support departmental goals and Library-wide initiatives.Other duties as assigned.

Acquisitions Processing

Assists in identifying appropriate sources for purchasing materials, downloading, or creating bibliographic records and PO lines in Alma, the integrated library system, and help monitor order fulfillment and payment.Frequently exchanges information with library faculty, clarifying requests and updating them on the order status of requested materials.Communicates with vendors about material availability, delivery times, and payment methods; follows up when needed.Assist in processing donations or gifts, which includes checking if the donated materials are already part of the library's collections and coordinating with the subject area specialist to determine the need for these materials.Reviewing print materials for binding to identify any potential replacements to firm orders.Assist in receiving printed books and other physical materials.Downloads electronic vendor records using existing load profiles, resolves discrepancies, and identifies potential duplicates.

Communications, Relationships, and Service (ongoing)

Maintain helpful and supportive customer service behavior with all library customers, internal and external.Establish effective and supportive interdepartmental relationships and participate in cross-training opportunities to increase library and unit effectiveness and to effectively disseminate information.Communicate frequently and effectively with all University staff, faculty, and administrators in a timely manner regarding procedures, policies, and other necessary information.Participates in library committees, task forces, and professional development training workshops.

This position reports directly to the Interdisciplinary Collections Cataloging Unit Manager

Level of Contacts:

The individual works with library faculty and staff at all levels, as well as student employees. The incumbent is expected to be professional and courteous in all contacts.

MINIMUM QUALIFICATIONS (Education, Experience. Skills. Training, etc.)High School graduateThree years of related experience in a library or cultural institution. Any relevant education, certifications and/or work experience may be considered. Working knowledge of the basic standards for bibliographic description.Analytic and critical thinking skills.Good manual dexterity.Ability to work cooperatively and productively with others.Ability to work independently in a team environment.Strong oral and written English language communication skills.Excellent organizational skills.
