This position is in the Irvine, California corporate headquarters and has the opportunity for hybrid work with 3 days onsite and 2 days remote per week.
The Sr. Facilities Manager will report to the Executive Director, Global Real Estate. The Sr. Manager will rely on extensive experience and judgment to manage and direct the Facilities Team and act as the interface with the Landlord and Property Management Team at the Irvine HQ. They will also support Facilities projects as needed for other sites. This will include service provider negotiations, contracting and administration, project and relationship management and preventative maintenance management (plumbing, electrical, HVAC, fire and life safety), and support company ESG goals and initiatives.
Your role:
Service Provider Contracting and Administration
Manages day-to-day Facilities operations. Anticipate, manage, document and report on all facilities preventative and predictive maintenance programs, including scope of work, specifications, SLA’s, management of vendors, and quality assessments.
Perform site inspections to identify enhancement and renovation projects, provide facility audit, and inspect quality of vendor-performed service and project work.
Develop, monitor and report for capital and operating expense budget forecasting and monthly accrual projections / status.
Development of metrics/KPI’s and timely follow through and comprehensive reporting on milestones, metrics and activities.
Stay informed on the lease terms for the campus facility ensuring compliance to terms.
Assist with managing work assignments and overseeing the programs in progress under maintenance and the mailroom. Find ways to reduce facility operating costs.
Introduce and document procedures for process improvement into the campus operation to the objective of cost savings or avoidance (e.g., limiting MACs).
Works with purchasing and other sites to reduce cost and negotiate optimal low risk terms of Master Service Agreements (MSA) and manage vendor relationships.
Works with providers and landlord to identify and implement process improvements and system/equipment efficiency opportunities.
Responsible for purchasing and processing of all invoices for all office furniture, chairs, file cabinets; locks and keys control; mail room machines; maintain copier leases and service contracts. Obtain quotes; track service, approve payment of all supplies, leased equipment; select carpets, paints, shades, artwork, framing; oversee all janitorial and plant services and air conditioning service contract.
Program Management
Support and/or lead space planning and fit-out projects. Collaborate to Implement facility standards such as cubicle size and office outfitting; set up fixed asset program, and manage leased equipment purchases as needed and approved.
Manage all facilities group capital rollout RFP’s, including project plan, site meetings, scope of work, specifications, SLA’s, etc. Works with the team to develop a systematic project management methodology for initiating, planning, implementing, and completing capital projects.
Work with space planners and construction workers, forecast labor hours and labor costs; predict facilities supplies usage and costs. Ensure a smooth move whether one cubical or an entire facility; make the employee happy and efficient.
Manage the Facilities Ticketing Management Process and Technology Tool.
Timely follow through and comprehensive reporting on initiatives, KPI’s, milestones and other activities.
Support business continuity by proactively planning for and responding to catastrophic events (e.g. hurricanes, floods, ice storms, tornados, earthquakes, etc.) as well as localized emergencies (e.g., fire, break ins, HVAC or power failure, water intrusion, etc.). Develop and implement the process to identify priorities in response to catastrophic events, and communicates same to the campus, in coordination with HR and Business Unit heads.
Proactively performs site assessments to identify any opportunities to reduce potential hazards which may impact personnel health and/or the environment. Partners with EHS to ensure a safe site.
Drive quality improvement initiatives to improve efficiency and identify cost savings.
Collaborates with internal and external experts to identify opportunities to reduce energy use at all company sites through energy efficiency equipment, programs, and training initiatives.
Maintains in-depth knowledge of applicable regulatory requirements and ensures the department aligns with applicable outside agency rules and regulatory requirements.
Define department metrics to ensure an efficient, high-quality Facilities organization.
Makes focused business-driven decisions by gathering data and customer feedback.
Defines department budgets (Capital and Expense), including accountability for actual to budget performance.
Conducts performance management, training, and professional development of Facilities Team
Ensures team completes all required safety training and ensures all work is conducted in accordance with industry best practices and company safety policies.
Cultivate innovation, continuous improvement, and growth within the team.
Performs other hands-on job-related duties as necessary and/or assigned.
Customer Service and Engagement
Act as HQ Liaison and attend Facilities Meetings with Landlord, Property Management Team and staff.
Identifies and manages internal customers' needs ensuring quality service performance for the Facilities organization.
Maintains communication with organization on key initiatives, critical project updates, and building/campus notifications.
Collaborate and coordinates activities with internal Communication, EHS, Security and Legal teams as needed.
Creates a positive and effective culture.
What you bring to the role:
Bachelor's degree or an equivalent combination of education and experience in a related field (architecture, construction, facilities management, engineering or business) required.
8+ years of experience in Facilities Management of people and processes, negotiating and contracting of external services, project management, facility operations and building maintenance.
Industry-related credentials from CoreNet, BOMA, IFMA, PMI, or similar
Knowledge of the standards, procedures, and techniques used in commercial and industrial construction, maintenance and upkeep of commercial property and facilities.
Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Project)
Exceptional verbal and written communication skills
Knowledge of building systems and infrastructure including plumbing, electrical and HVAC
Experience in direct management of large scale and complex facilities projects.
Experience in Energy Management.
Knowledge of sustainability initiatives; LEED certification desirable. Knowledge of building codes and applicable health and safety laws.
Ability to understand financial reports and develop and maintain budgets.
Demonstrated skills in providing exceptional customer service providing leadership to achieve excellence in service and quality.
Demonstrated ability to partner successfully with other groups and build strong peer relationships.
Ability to self- lead, define problems, collect data, establish facts, and draw valid conclusions and recommendations.
Experience in conducting energy and/or power studies and energy management projects.
Ability to read schematics, flow diagrams and technical drawings.

The typical base pay range for this role across the U.S. is USD $105,500.00 - $179,400.00 per year.The ranges above reflect the potential annual base pay across the U.S. for all roles; the applicable base pay range will depend on the candidate’s primary work location, pay grade, and variable compensation plan. Individual base pay within each range depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills. Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time of hire. New hires starting base pay generally falls in the bottom half (between the minimum and midpoint) of a pay range.
