Microbiology & Immunology has an exciting opportunity for a Sr. Project Coordinator position. The incumbent coordinates project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.

CORE JOB FUNCTIONS
1.Assists with the assignment of tasks to internal teams to include schedule management.
2.Assists with budget preparation and tracks all project related expenditures.
3.Monitors project progress and addresses any issues that arise. Assists with the identification ofcompletion shortfalls.
4.Acts as the point of contact and communicates the project status to relevant stakeholders.Communicates timeline changes and new information to project team.
5.Creates and maintains comprehensive project documentation, plans and reports. Ensures all neededdocumentation is current and properly filed and stored.
6.Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
7.Organizes, attends and participates in project meetings.
8.Prepares necessary presentation materials for project meetings.
9.Records minutes and takes detailed notes during meetings.
10.Evaluates current procedures and recommends changes to improve the efficiency of planning andscheduling of projects.
11.Adheres to University and unit-level policy and procedures and safeguards University assets.

Department Specific Functions
The Sr. Project Coordinator for the Miami CFAR Developmental Core entails coordinating the Core and providing direct support to Miami CFAR early-stage investigators for manuscript and grant proposal development.
The Miami Center for AIDS Research (CFAR) focus is to encourage and support basic and translational HIV/AIDS research, foster synergy to improve the coordination of HIV/AIDS research, support emerging research opportunities and to promote efficiencies through resources shared by multiple independent centers, institutions and laboratories.
The Miami CFAR Cores and the services they provide address the needs of HIV/AIDS investigators and are inclusive of the full range of HIV/AIDS science funded at the institution. The Miami CFAR fosters collaborative, multi-institutional linkages with international, domestic and Minority Serving Institutions (MSIs) and organizations to foster a holistic approach to research, training and collaborative studies.
This Core takes the lead in ensuring dynamic and supportive mentorship, and capacity-building for early-stage investigators. The Core offers pre-submission peer-review for both external (NIH) and internal (Developmental Core) grant proposals and scientific publications.
The Sr. Project Coordinator will carry out activities for the development, maintenance, delivery and evaluation of the investigator support activities. Tasks include but are not limited to,
• Coordinating the development of grant application documents by preparing and gathering grant application and Miami CFAR awards materials. This will be the primary initial task for the potential hire as we finalize the Pilot awards process (making sure applicants submit complete packages based on recommendations from their one-page critique, dissemination of the formal Notices of Awards, and that initial meetings are scheduled/coordinated with all awardees to support them as they initiate their projects.)
• Coordinating and leading Pilot PI meetings, Developmental Core meetings, and Mentorship Academy meetings
• Coordinating and compiling the Developmental Core report for the monthly Miami CFAR Director’s meetings and Community Council meetings
• Coordinating the Pilot Studies call for proposals and proposal review process
• Coordinating peer reviews for Pilot and external grant proposals
• Providing technical support to Pilot PI’s and other Miami CFAR early career and new HIV/AIDS investigators
• Coordinating manuscript preparation including conducting literature searches/reviews, communication among co-authors, preparing references and conducting the manuscript submission process including tracking the review and coordinating the revise/resubmit process
• Developing and maintaining investigator support materials
• Coordinating the preparation of Developmental Core reports to the funding agency and the annual RPPR
• Coordinating and participating in strategic planning to advance and sustain the work of the Miami CFAR Developmental Core
• Manage the Developmental Core budget and track the financial performance of the program to meet the Core’s goals and assist with short- and long-range budgetary planning
• Management of the Core’s database and maintain electronic grant folders in an orderly fashion
• Keeping track of outcomes from the services provided by the Core
• Supports the Miami CFAR Administrator with monitoring, tracking and evaluating Core activities to ensure compliance with applicable guidelines, rules and regulations of Miami CFAR, sponsors and the University.
• Serve as a liaison between Cores, collaborators, scientific working groups, focus groups the Miami CFAR Administrator and the central Office of Research Administration.
