Our team’s priorities are: Providing an experiential approach which guides a differentiated property management experience, resulting in better care and better business and exceptional customer and client service.Support the exponential growth of our business by providing people integration and synergy.Develop our people for bigger and better roles.Supporting ambitions beyond the workplace.Applying new technology and data to drive change.What this job involves:Supporting your team to deliver best in class service As a Senior Property Associate at JLL, you will apply your commercial property management admin experience to support our office property management team by interacting with tenants, assisting with budgets and financial reports, reconciling A/R accounts and coding invoices, tracking certificates of insurance, along with the primary responsibilities outlined below. This is great opportunity to advance your career in commercial property management if you have a positive attitude, are proactive and can think ahead to anticipate the administrative needs of the team.This position is on-site 5 days a week.Primary Responsibilities:Participate in processing, reviewing, and coding invoices for payment.Participate in processing, reviewing, and coding POs for issuance.Participate in A/R; preparing and distributing rent statements, sending collection notices when appropriate.Preparing manual billing adjustments as needed.Track portfolio spend to not exceed budget and look for cost reduction opportunities.Coordinate document management related to lease execution, distribution, and filing.Track notice requirements as specified in leases to ensure that deadlines are not missed, and notifications are appropriately distributed.Regularly monitor email, phones and work order system; ensuring prompt and courteous responses and directing correspondence to appropriate personnel as needed.When applicable, assist in preparing estimates and obtaining approval from tenants prior to initiating work. Follow-up with tenants to ensure work orders are completed to their satisfaction.General office organization.Research billing/billback inconsistencies.Work closely with the finance team on monthly reporting.Prepare, organize, compile, and distribute correspondence, memos, white papers, and closeout reports.Create and/or maintain physical and virtual filing systems in an accurate and organized manner.Maintain and update team and customer contact databases.Complete RFP processes and bid leveling.Ensure that tenant and vendor certificates of insurance are accurate and meet defined standards.Support compliance with management audits and engineering operations audits by assisting in file preparation and record-keeping.Oversee and manage tenant move-in/move-out procedures.Assist property team in the development and implementation of property and tenant handbooks.Keep regular contact with maintenance, security, and building staff to ensure that common areas such as lobby, elevators, exterior grounds, building-managed conference rooms, etc. are clean and secure. As needed, document incidents of potential property and equipment liability (ex: any occurrence of an onsite injury), forward information to appropriate risk management personnel.Gather W-9’s from vendors, and aid in new vendor set-ups as needed.Assist with property budget preparation, CAM reconciliations and estimate preparation and calculation, and recurring reporting, as requested.Prepare and review tenant billbacks, review variances, and serve as a point of contact for the admin support staff.Assist with vendor contract creation, execution and tracking as requested.Participate in training incoming team members as appropriate.Develop and manage annual events (holiday parties and monthly tenant engagement events)Perform white glove inspections of the property on a recurring basis.General and ad hoc administrative support of the property as needed.Assist with vendor management.Any and all other duties and tasks assigned.Being a relationship builder Keeping our building tenants and owners happy is always top of mind.
