Staff Specialist

Position Summary

The Staff Specialist plans, coordinates and participates activities within assigned training, financial and

administrative areas in support of departmental regulatory training

compliance, fiscal responsibilities and business processes. The position maintains a liaison with other

programs, offices and departments at client to coordinate and accomplish objectives.

Position Responsibilities

Training

Plan, coordinate and administer training completion and compliance activities to include implementing

procedures, processes, services and systems; train employees in proper methods and procedures and

ensure correctness of training completions and documentation.

Monitor and provide the status of the employee’s compliance with SOP, client, functional group

and position training, communicating with staff, management and leadership in support of training

compliance for favorable sponsor and audit outcomes. Prepare and provide training and qualification

documentation for audit reviews, i.e. internal, sponsor or regulatory agency.

Develop, coordinate and advise staff regarding training program. Prepare training metrics and

compliance reports, analyze compliance reports and communicate assessments.

Financial

Support financial management related to internal business processes for client to include

ordering client technology purchases and repairs, monitor backlogs, equipment receipt and payments of

purchases. Initiate payment for monthly client wireless bills, monitor through process for timely approval

and payment. Perform procurement card purchases and reconciliations, reimbursements, training

registrations, conference attendance, and travel arrangements. Monitor, verify and reconcile expenditure

of budgeted funds as appropriate.

Administrative

Oversee and manage events and large meetings for the group. Establish and manage central calendar

announcements and distribution lists for the group.

Coordinate public, social events and other related administrative programs; develop and coordinate new

ideas and concepts for program themes, materials and resources to supplement, expand or replace

existing program components.

Provide meeting, documentation and messaging support to Leadership

Team.

Additional Skills & Qualifications:

Able to provide guidance and direction to staff, including setting standards and monitoring completion and

performance.

Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to

problems.

Skills evaluating program performance, summarizing findings, communicating results, and forming an

action plan.

Knowledge of business and management principles involved in strategic planning, resource allocation,

human resources modeling, leadership technique and coordination of people and resources.

Work requires knowledge of basic mathematical, research and communications principles normally

acquired through two years of postsecondary education.

• Work generally requires four years of clerical or research experience to acquire strong skills in

administrative or project research responsibilities as well as accepted office management,

communications and research practices.

• A bachelor’s degree in a field of study directly related to the specific position may be substituted

for the education and two years of the experience requirement.
