Job Brief

Responsible for preparing and monitoring schedules and daily editing of time cards for assigned borough.

Shift Worked: 10:00AM-6:00PM Sunday -Thursday Weekly Hours: 37.5 FLSA Status: Non Exempt Pay range: $22.05-25.64

POSITION SUMMARY:

Monitors daily sick calls and deploys staff for day, evening and night shifts as assigned. Ensures that minimum staffing requirement for each residence within assigned borough is met on all shifts.

POSITION DUTIES:

Prepares a working 42-day schedule, including benefit time and pre-scheduled overtime for all Union residential direct care personnel for an assigned borough. Ensures timely distribution of schedules to all management personnel to be posted in each residence and also to be disseminated to all float employees. Approves/denies all benefit time off requests submitted during the six-month submission period. After the start of the 42-day schedule, responsible for approving/denying all benefit time off requests. Communicates responses to management personnel to be distributed to employees. Inputs all approved benefit time in the E-Time system. Receives all changes in daily staffing schedule for all shifts within an assigned borough. Ensures adequate coverage by deploying replacement staff following the zone floating protocol or securing voluntary and/or mandatory overtime. Communicates all staffing changes to borough management personnel by sending a shift report at end of each shift. Communicates with on-shift management personnel within assigned borough at the start of the shift to ensure minimum staffing requirement for each residence is met. Provides management personnel with daily staffing schedules for all shifts in all residences within the assigned borough by updating and posting the 42-day schedule on the agency’s intranet. Reviews and edits timecards daily for all employees of assigned borough. Completes all edits, including benefit time, hours worked, changes to location, and comments, as needed, to ensure correct payroll. Establishes and maintains cooperative working relationship with other Staffing Coordinator with same assigned borough. Attends borough management meetings as needed. Generates Change of Status forms for disability leave, transfer of location, shift change, separation of employment, etc. Communicates all necessary changes to all management personnel. Revises daily schedules following an employee’s status change, as needed to ensure adequate coverage for all shifts in all residences within the borough. Ensures adequate coverage for additional hours needed within assigned borough, i.e., hospitalization, medical appointments, home visits, recreational trips, etc. Ensures compliance with 1199 contract and Cerebral Palsy Associations of New York State’s policies regarding staffing. Approves timecards for payroll close for review by Residential Coordinators. Analyzes schedule patterns in all residences to improve efficiency throughout the assigned borough. Utilize ADP and the biweekly Direct Care Salary reports to monitor productive hours and overtime dollars. Monitors time and attendance for all union employees in assigned borough. Communicates all identified concerns to management personnel for appropriate follow-up. Performs all other duties as assigned.

REQUIREMENTS:

Minimum Associates Degree or 60 College Credits. BA degree preferred. Must have computer proficiency (Word, Excel, Timekeeping and Scheduling Program). Must become knowledgeable of all agency payroll, and 1199 provisions pertaining to scheduling and benefit time off. Minimum two (2) years working in a residential program for people with disabilities. Minimum two (2) years’ experience in scheduling, deployment, dispatching in a multi-site environment. Supervisory experience preferred. Must have excellent communication skills and be able to work with diverse workforce. Performs all job responsibilities in full compliance with all applicable laws, rules, regulations, policies and procedures. Adheres to the agency’s corporate compliance program, including the code of business conduct, the NYS and federal false claims acts, whistleblower protections and mandatory reporting. Completes corporate compliance training at least annually. Fully cooperates in all corporate compliance investigations and reviews. Share
