This role offers an exciting opportunity to provide high-level administrative support within the Health Regulation Division, assisting across a range of vital state programs, including Licensing, Rapid Response, Evaluation, Engineering, Health Occupations, Body Art, and Mortuary Science. You’ll play a key role in ensuring smooth program operations, helping to achieve goals and meet deadlines efficiently. Collaboration is essential, as you’ll work closely with a dynamic team to ensure all tasks are completed accurately and in compliance with state laws and regulations.
Responsibilities for this position include but are not limited to the following:
+ Manage and fulfill employee purchasing requests.
+ Assist with licensing renewals.
+ Update electronic databases with provider applications and investigation documents according to applicable policy and rules.
+ Coordinate and administer Mortuary Science and Hearing Instrument Dispensing Exams.
+ Distribution of public data, investigative reports, and statement of deficiencies in accordance with state laws and statutes.
+ Review electronic databases to analyze daily workload and prioritize program support needs.
+ Serve as subject matter expert for all State administrative duties and coordinate workforce needs with State IT Services, division operations and senior leadership.
This is a hybrid telework position that requires in-office work 1 - 2 days per week, in the downtown St. Paul location. Telework eligibility is based on business needs and is at supervisor discretion.
**Minimum Qualifications**
_The following minimum qualifications must be clearly demonstrated on the applicant's resume/application to be considered for this position:_
+ Data entry skills sufficient to read source documents, enter information into specific databases, and create and maintain spreadsheets.
+ Document and records management skills sufficient to record, prepare and file electronic documents.
+ Word processing skills sufficient to use software to create invoices, respond to emails and prepare a variety of documents and reports.
**Preferred Qualifications**
+ Knowledge about the Health Regulation Division, including its vision, mission, and functions of regulatory practices.
+ Experience working with health care facilities, providers and programs licensed by the Health Regulation Division.
+ Experience handling confidential, non-public information with discretion and in compliance with privacy and security regulations.
+ Strong interpersonal skills with the ability to establish and nurture positive, collaborative relationships with diverse individuals at all organizational levels.
+ Experience working in a fast-paced environment with multiple software systems while maintaining a high level of accuracy.
