These services consist of responding to requests for materials pickup and delivery, timely upkeep of records management database showing the location of records, shelving, and refiling of records, vehicle operation, and customer service to colleagues and staff of other agencies. Human Resource Contact: stacy.sprengeler@wyo.gov (stacy.sprengeler@wyo.gov,) /307-777-7010 ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level. + Complete the daily operations of the State Records Center (SRC), following policies and standards set down by the State Archivist and Records Management (RM) Supervisor. + Process State Agency and Archives requests for box and file deliveries and pickups from and to the SRC in the GIMMAL (aka RIMS) database; this includes entering or fixing requests in support of state agencies when required. Make sure all outgoing material has a RIMS label. + Shelve boxes and refile records. Upload data from scanner guns into RIMS as appropriate. + Keep the dock area clear to allow for incoming boxes. + Respond to and process inquiries about Agency box or file requests or other issues submitted by Records Management staff and other state personnel by researching each issue. Use the most efficient process that enables the issue to be closed and provide answers to the person submitting the issue to the SRC as soon as practical. This includes providing limited technical support and training support regarding RIMS-related issues. + Organize the SRC tasks and priorities to ensure efficient operations by keeping the Records Management Supervisor apprised of spikes in workload, circumstances warranting significant changes in schedule or processes, or those requiring additional resources. Advise RM Supervisor about RIMS issues reported to the SRC by agency personnel. When necessary, coordinate and work with other State Archives staff to accomplish all tasks. + Deliver and pickup boxes and records from state agencies and the Archives Reading Room Operate vehicle issued to the SRC in accordance with established state and SRC procedures. + Deliver and pick up files and boxes using the shortest and most efficient delivery routes. + Process rush deliveries as expeditiously as possible according to policy. + Act as a contact person in customer relations with agencies and relay concerns to appropriate individuals. + Perform twice daily deliveries of records, unless directed otherwise, to the Archives Reading Room for use by staff and researchers. + Van maintenance, directing contracted temporary employees performing functions in support of SRC operations, and other tasks as assigned. Monitor van for maintenance needs (annual checkups, oil changes, brake work, stabilitrak maintenance, etc.) and inform RM Supervisor when work needs to be done. + Train temp employees on specific tasks in SRC operations. + Work with Archives personnel to issue specific tasks and priorities to temp employees and advise the RM Supervisor of those tasks. Perform quality checks periodically on temp employees to ensure that they are performing at the most optimum and efficient level possible and report to the RM Supervisor any performance-related problems concerning temp employees. + Assist Records Management personnel with inventories. Qualifications PREFERENCES: Preference will be given to applicants with a valid driver’s license and a clean driving record. This position requires extensive city driving. KNOWLEDGE: + Experience with databases (data entry, problem-solving, running queries, etc.), Google Suite (especially Google Docs and Sheets), and Microsoft Office, especially Word and EXCEL required. + Technical experience with SQL databases preferred. + Knowledge of GIMMAL/RIMS database and other database processes preferred. + Experience with scanner guns and associated software preferred. + Knowledge of record management procedures and regulations is preferred. + The ability to communicate accurately and efficiently is required. + Good time management and independent thought skills are required. MINIMUM QUALIFICATIONS: Education: Associate's Degree (typically in Records or Data Management) Experience: 0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician Certificates, Licenses, Registrations: None Necessary Special Requirements PHYSICAL WORKING CONDITIONS: + Work will be performed outdoors and on the roads in all weather conditions. + Must be able to lift 50 lbs. with or without accommodation.
