Strategic Assistant Tasks (Expected 75% capacity):

Serve as a strategic advisor to the department head, providing insights and recommendations to drive business objectivesLead and manage special projects and initiatives, ensuring timely and successful executionAct as a liaison between the department head and other teams, facilitating communication and collaborationAnalyze and report on key performance metrics, identifying areas for improvement and implementing solutionsCoordinate and prepare materials for executive meetings, including agendas, presentations, and follow-up actionsDrive organizational and operational efficiency, implementing best practices and process improvementsHandle sensitive and confidential information with discretion and professionalism

Administrative Assistant Tasks (Expected 25% capacity):

Act as the primary point of contact for the department head, managing their calendar, scheduling appointments, and coordinating meetings.Manage and coordinate office activities and operations to ensure efficiency and compliance with company policies.Coordinate travel arrangements, including flights, accommodations, and itineraries (incl. T&E reimbursement process)Assist with the onboarding process for new employeesAnticipate the needs of the department head and proactively provide support to ensure their efficiency and effectiveness.

QualificationsProven experience in a strategic support role, Chief of Staff, executive assistant, or similar role supporting senior leadership (5 - 7 years of experience). Strong business acumen and strategic thinking skillsAdvanced English  (spoken and written)Excellent communication and interpersonal abilities, with the ability to influence and build relationships at all levels of the organizationExceptional organizational and project management skills with the ability to prioritize tasks and meet deadlinesAnalytical mindset with the ability to interpret data and make informed recommendationsAbility to thrive in a fast-paced and dynamic environment, managing multiple priorities with grace and composureBachelor's degree in business administration, management, or a related field; MBA or other advanced degree is a plusProactive and resourceful, with the ability to anticipate needs and take initiative.
