Summer Trainee, Purchasing Coordinator

We are looking for a motivated

Summer Trainee, Purchasing Coordinator

to join our Purchase Order Management team in the Global Spares Supply (GSS) unit in Hyvinkää, Finland. This is a full-time, fixed-term position lasting 4–6 months, starting in May 2025. This role involves executing stock material purchase order processes efficiently, ensuring data accuracy, and driving the timely supply of materials and services.

Responsibilities and Key Activities

Monitor purchase requisitions and create purchase orders (PO) with preferred or approved suppliers.

Process manual POs based on requests from cross-functional teams, ensuring all necessary approvals are in place.

Track purchase orders, follow up on supplier order confirmations, and resolve any deviations.

Update order confirmation details in SAP and handle IDOC errors related to integrated supplier order confirmations.

Coordinate with suppliers to ensure timely material delivery to destinations (DC/FL/other).

Assist suppliers with arranging transportation when required.

Manage and respond to emails from suppliers, stakeholders, and cross-functional teams in a shared mailbox.

Collect supplier holiday schedules and share them with the planning team for better forecasting.

Work closely with the planning team to provide forecasts to suppliers.

Maintain up-to-date supplier contact details in the system.

Monitor daily exceptions and resolve issues proactively.

Contribute to process improvement initiatives.

Ensure compliance with KONE policies, including the purchase order policy, as well as quality, safety, and environmental standards.

Upholds high ethical standards, maintains integrity, and fosters trust among colleagues and stakeholders.

Requirements for the Role:

Currently pursuing relevant occupational studies or possessing relevant experience in business, engineering, or a related field. 

Proficiency in SAP (MM Module).

Strong knowledge of Microsoft Office tools (Word, Advanced Excel, PowerPoint, Power BI).

Experience with Salesforce and PDM systems is an advantage.

Fluent in English (written and verbal).

Strong organizational and communication skills.
