Department Overview

The mission of Information & Records Governance (formerly Enterprise Records and Information Management) is to drive the reliability, availability, and compliance of PG&E’s records and information assets by providing transparent governance, consultation, and practical tools.  
Information & Records Governance is responsible for supporting PG&E’s information and records management practices to ensure compliance with laws and regulations, reduce risk, and promote safe and effective business operations. The team is responsible for policy, strategy, and guidance for information and records assets, and for monitoring compliance and supporting development of consistent and integrated processes that promote the responsible management of the information lifecycle to further PG&E’s immediate and future regulatory, legal, and operational requirements.
 

 

Position Summary

The Supervisor role is responsible for supervising a team of analysts who provide guidance and support to our internal customers with managing the lifecycle of physical and electronic records. Additionally, the supervisor is responsible for the team’s participation and engagement in IRG projects and activities that support and promote records and information maturity, compliance, risk reduction, and business process improvements. 
 
This position is hybrid, working from your remote office and your assigned work location (Oakland, CA) based on business need.
 PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job.  The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.  Although we estimate the successful candidate hired into this role will be placed towards the middle or entry point of the range, the decision will be made on a case-by-case basis related to these factors.
•    Responsible for supervising a support team that provides guidance and support to numerous Functional Areas (FAs) with managing the lifecycle of information and records in accordance with standards and procedures.
•    Accountable for the team’s participation and engagement in projects and activities that support and promote information and records maturity, compliance, risk reduction, and business process improvements.
•    An advocate for safety and helps PG&E attain its vision of being the leading utility by leveraging the skills and experience of a diverse team to focus on the successful delivery and maintenance of the Information & Records Governance program.
Focus areas include, but are not limited to:
•    Customer support
•    Records risk activities
•    SharePoint and shared drive support
•    Business process improvements
•    Compliance monitoring activities
•    Site reconfiguration and decommissioning support
 

This position is hybrid, working from your remote office and your assigned work location based on business need.

A reasonable salary range is:

Bay Area Minimum: $114,000
Bay Area Maximum: $182,000
 

 

Job Responsibilities

Perform supervisor and administrative duties ranging from DORs, WORs, one-on-ones, and timecard review/approval to attending leadership meetings. Specific responsibilities include, but are not limited to:
•    Supervises a team to deliver streamlined processes and functions that focus on simplicity, efficiency, accountability, and customer satisfaction
•    Establish and maintain cross-functional working relationships with key business partners 
•    Identified process improvement opportunities in support of the business, deploys support for guidance, process mapping, and redesign, and implements major initiatives when needed
•    Identifies process gaps, facilitates standardization and documenting of processes. Creates and/or updates process documents 
•    Develop and implement project plans, status reporting, and scheduling
•    Leads team in understanding records and information risks and compliance, and policies and procedures
•    Establish and maintain cross-functional working relationships with key business partners throughout the Functional Areas 
•    Prepare monthly metrics and KPIs for internal reporting
•    Develop and implement LEAN methodologies to increase quality and accuracy within the various workstreams
•    Lead training and engagement activities for functional areas
•    Develop and manage customer service tools and team dashboards
•    Deliver work products that eliminate waste within various workstreams
•    Support PSEMS 11 maturity action items
•    Provide electronic content management support
 

 

Qualifications

Minimum
•    Bachelor’s degree in Business, Finance, Library and Information Systems, Information Technology, Legal Studies, or related discipline; or equivalent experience
•    5 years related experience in records management, compliance or equivalent experience


 Desired
•    Master’s degree in Business, Finance, Library and Information Systems, Information Technology, Legal Studies, or related discipline; or equivalent experience
•    2 years of supervisory experience
•    CRM, IGP, or related information governance certification
•    Knowledge of relevant information and records governance industry guidelines (ARMA, AIIM, IAPP, etc.)
•    Experience working in the utility industry
•    Prior experience with active mentoring/coaching reporting relationships, resource planning, setting goals, and assignment of projects, process improvement, managing performance, leading cross- functional teams, influencing others, decision-making, change management, and communications
•    Process workflow development and maintenance
•    Intermediate to advanced Excel, PowerPoint, and SharePoint skills
•    LEAN management experience
