Position Overview:

As a Vendor Management Supervisor at American Credit Acceptance (ACA), you will be responsible for overseeing and optimizing the performance of our third-party vendors to ensure they meet our company’s strategic and operational objectives. This role involves managing vendor relationships, conducting initial and recurring due diligence, evaluating vendor performance using ongoing monitoring techniques, negotiating contracts, and ensuring compliance with industry regulations and company policies. You will work closely with various departments to support the operations and contribute to the overall success of our vendor management strategy.

Key Responsibilities / Essential Functions:

Vendor Relationship Management:Develop and maintain strong relationships with key vendors and applicable business stakeholders, ensuring effective communication and collaboration.Act as the primary point of contact for vendor-related inquiries, issues, and negotiations.Resolve conflicts and issues with vendors in a timely and effective mannerManage communications within the teams.Due Diligence and OnboardingConduct thorough due diligence on potential vendors, including background checks, financial assessments, compliance reviews, and risk evaluations.Ensure all required documentation and approvals are obtained before onboarding new vendors.Oversee the onboarding process, ensuring vendors meet all company and regulatory requirements before they commence service.Performance Monitoring and Evaluation:Monitor and assess vendor performance, by partnering with applicable business stakeholders, against established service level agreements (SLAs) and key performance indicators (KPIs).Conduct regular performance reviews and provide feedback to Vendor Analysts, vendor relationship managers and vendors to drive continuous improvement.Implement corrective actions and improvement plans as necessary.Develop and maintain standard processes for capturing and sharing knowledge and training across the team.Contract Management:Partner with applicable counsel and stakeholders to negotiate, draft, and manage vendor contracts and agreements, ensuring they align with company policies and objectives.Review and update contract terms and conditions as needed to reflect changes in business requirements or regulatory standards.Ensure effective contract renewal and termination strategies for all vendors.Compliance and Risk Management:Ensure vendors comply with industry regulations, company policies, and contractual obligations.Identify potential risks associated with vendor relationships and develop strategies to mitigate these risks.Vendor Selection and Onboarding:Assist in the vendor selection process, including evaluating potential vendors and making recommendations.Oversee the onboarding process for new vendors, ensuring they meet all company and regulatory requirements.Reporting and Documentation:Maintain accurate records of vendor contracts, performance metrics, and compliance documentation.Prepare and present reports on vendor performance, issues, and improvements to the Vendor Manager .Cross-Functional Collaboration:Work closely with finance, procurement, compliance, and other departments to ensure vendor management aligns with overall business goals.Provide support and guidance to internal teams regarding vendor-related matters.

Qualifications:

Bachelor’s degree in Business Administration, Finance, Supply Chain Management, or a related field; MBA or relevant certification is a plus.Proven experience in vendor management, procurement, or supply chain management, preferably within the auto finance or financial services industry.Strong knowledge of vendor management best practices, contract negotiation, and performance evaluation.Excellent communication, negotiation, and interpersonal skills.Strong analytical and problem-solving abilities.Ability to manage multiple priorities and work effectively in a fast-paced environment.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with vendor management software or ERP systems.

Supervisory Responsibility

This position will supervise a team of up to 5 Vendor Management Analysts.

 

Work Environment and Physical Demands

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Position Type/Expected Hours of Work

This is a full-time, in office position with a work schedule of Monday-Friday with some schedule variations as needed.

 

Travel

This position will require up to 10% travel.
