What you’ll do as an Office Supervisor: + Assist manager with the supervision of office staff. + Perform general clerical duties, tasks, or special projects as required or assigned related to functions such as billing, payroll, purchase orders, dispatch and locates. + Prepare billing; balancing; create accrual reports + Prepare payroll, including collecting and reviewing dailies, timesheets and entering time into timekeeping system + Input data into front end systems + Responsible for all training in all systems associated with the particular contract for all new employees + Assist the team and ensure all system rules are being followed + Assist to ensure all dailies are coming in from the field are correct and assist in any necessary corrections + Ensure all approvals for items are approved by the Field Supervisor or sub-contractor + Assist in questions from team + Assist in the auditing of all accruals and payroll to ensure limited errors + Track aged accruals and keep them up to date + Remain hands on in day to day operations + Maintain a working relationship with the customer and Field Supervisors + Order office supplies + Filing as necessary; set up and maintain files + Build and maintain strong business relationships with business leaders and administrative staff across the organization What you’ll need + To be 18 years of age or older + Authorization to work in the United States for this company + Requires 3 or more years of experience in an administrative role + Previous experience in a fast paced environment strongly preferred + Strong team-first mindset, collaborative, proactive, exhibits positivity, professionalism, confidentiality, and good judgement + Well organized and resourceful; able to think systematically and pivot quickly, anticipate needs and execute autonomously, with strong attention to detail + Not easily flustered, operates well under stress, not frustrated by last minute or frequent changes in priorities/schedule + Strong adaptability, flexibility, and resourcefulness; ability to navigate and thrive in ambiguity + Outstanding verbal and written communication skills + Tech-savvy with excellent proficiency in Microsoft Suite, Google Docs, Keynote, Excel, SmartSheet + Ability to maintain a high level of confidentiality & discretion, exhibit professionalism at all times Why work with us Your career here is more than just a job — it's your pathway to opportunity.
