Position Summary:
The Support Services Supervisor at Warde Lab assists the manager with oversight and maintenance of the inventory and logistics operations of assigned departments. This role ensures efficient inventory management, coordinates with departmental managers to meet specific inventory needs, and maintains documentation in compliance with licensing, accrediting, regulatory agencies, and organizational standards. The Supervisor is also responsible for leading and coordinating the activities of courier staff, ensuring timely and accurate client deliveries, and maintaining vehicle and route records.
Qualifications:
One to two years’ supervisory experience. Proven experience in inventory management and logistics coordination. Strong organizational skills and attention to detail. Proficiency in information management systems and related technology. Excellent communication and interpersonal skills. Ability to lead and supervise a team effectively. Knowledge of regulatory and accrediting standards in a laboratory setting is preferred.
Essential Functions and Responsibilities
Inventory Management:
Monitor and maintain inventory levels using industry-standard inventory management techniques, information systems, and technological enhancements.Coordinate with department managers or their designees to understand and fulfill specific inventory requirements.Process and maintain documentation required by licensing, accrediting, regulatory agencies, and organization standards.Receives supplies, and confirms product integrity, accuracy, and expiration dates according to department standards. Supports Finance Department’s collaboration with suppliers to resolve discrepancies or other problems. Restocks in appropriate storage locations. Store and distribute equipment and supplies to support laboratory operations.Provide feedback to the purchasing group on inventory levels and initiate requests to place orders.Audits on utilization, purchasing and billing activity, investigating discrepancies, reconciliation reports, and implements changes meant to continuously improve the accuracy, integrity, and control of the purchasing functions.As needed, maintains a separate inventory for controlled substances and/or hazardous chemicals and products. Performs all related documentation and record keeping functions and submits reports as required.Maintains procedures for acceptance of received goods. Immediately responds according to policy to product problems or recalls. Assists in the return of damaged or incorrect items.Logistic Coordination:
Lead and coordinate activities of courier staff, including filling client orders, client deliveries, and daily route sheets.Maintain vehicle records and manage local and STAT runs.Update and maintain route log sheets, cover routes as needed, and serve as a liaison with contracted couriers.Ensures accuracy and delivery of client orders.Create, document, and update procedures related to courier activities and logistics as necessary.Exercise functional supervision to Laboratory Services couriers by determining work procedures, preparing work schedules, and assigning duties on an as needed basis. Ensures appropriate staffing levels for Lab Service personnel in matters related to courier staff. Monitors and ensures quality of work assignments by working closely with manager and staff. Includes review of day-to-day job performance with staff related to quality and promptness.Participates in the training and orientation of new employees and assists in performance evaluation of Support Services personnel.Clerical and Administrative:
Assist with routine and complex clerical duties requiring an in-depth knowledge of the department’s operations and procedures.Compose and word process documents, prepare complex forms, and maintain departmental information systems and records.Facilitate invoice checks in coordination with the Finance department and coordinate meetings as required.Other Functions and Responsibilities
