Summary The Supervisory Medical Support Assistant position is located in the Community Care Administrative section of the Community Care Department at the Alaska VA Healthcare System(AVAHS). The SMSA has the ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. The duties of this position include but are not limited to the following: Plans work to be accomplished by subordinates, adjusts short-term priorities, and prepare schedules for completion of work. Identifies staff education and training needs. Ensures educational opportunities are made available to MSA staff, as well as providing job-related training (personally, if need be). The incumbent is responsible for leave administration, incentive awards programs, motivation and morale, administrative disciplinary actions, recruitment and placement, position management and classification, preparing position descriptions, overseeing semiannual and annual evaluations, counseling employees whose performance is marginal or unsatisfactory, and implementing continuing education activities. Responsible for extracting and analyzing data in order to provide reports in support of performance measures or special projects. Provides support to staff in the maintenance, tracking, and collection of data requested by clinical and administrative staff related. Responsible to ensure that MSAs are scheduling appointments in VistA in accordance with VHA national scheduling rules and established clinical guidelines. Assigns work to subordinates based on priorities, giving selective consideration of the difficulty and requirements of assignments. Evaluates work performance of subordinates (productivity management). Gives advice, counsel, or instruction to employees on both work and administrative matters. Interviews candidates for positions in the unit; recommends appointment, promotion or reassignment to such positions. Listens to and resolves complaints from employees, referring group grievances and more serious unresolved complaints to a higher-level supervisor or manager. Affects minor disciplinary measures, such as warnings and reprimands, recommending other action in more serious cases. Identifies developmental and training needs of employees, providing or arranging for needed development and training. - Finds ways to improve production or increase the quality of the work directed. Develops performance standards and writes performance reviews. Work Schedule: 0800-1630 Monday-Friday (Tour information can be discussed during the interview). Pay: Competitive salary and regular salary increases. When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). Candidates must demonstrate the KSAs below: Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training in a patient support setting. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
