Main Duties

Identify, liaise, and arrange subcontractor attendance in-line with contractual agreements for both reactive works and pre-planned maintenance works, considering costs, location, expertise, availability, and response targets. Run and analyse data reports to closely manage KPI targets and identify solutions for a more efficient end-to-end process. Accurately record and evidence all job-related information on the appropriate IT systems, ensuring compliance with statutory and/or mandatory requirements. Raise purchase orders for subcontractor attendance based on contractual agreements and best value for money. Undertake invoice management to ensure payment terms are met according to contractual agreements. Collaborate with Account teams, contract managers, schedulers, and helpdesk colleagues to meet Business KPIs. Build and maintain relationships with external clients, suppliers, operations team, and central departments. Continuously review internal processes and make recommendations for improving the efficiency of the Supply Chain function. Ensure clear communication with clients and subcontractors, adhering to security and Health & Safety procedures. Provide consistent and exceptional customer service, dealing with interactions professionally and efficiently. Schedule and manage Supply Chain work orders, ensuring timely completion based on client requirements and agreements. Analyse work order progression and completion, ensuring accurate system updates. Reassign subcontractors when necessary for unresolved work orders. Communicate effectively with peers and management to drive service excellence. Effectively manage risks and escalate when necessary. Attend relevant training as directed by the line manager. Seek information regarding contractual agreements and scope of services. Monitor and guide sub contractor engineers to adhere to schedules and take necessary actions. Adapt to new tasks directed by management and align with business needs.   What we are looking for Administration experience. Knowledge of Maximo or similar CAFM system is preferable. Excellent communicator both verbal and in writing. Analytical and organisational skills (customer service skills). Ability to multi-task and prioritise. Strong IT skills including Excel to intermediate level. Ability to generate, develop and present ideas and suggestions for improvements in order to achieve more effective working practices.
