Supply Room Clerk

Position Overview

To work directly with the Plant Engineer and the Departmental Leads to ensure the plant supplemental supply room functions efficiently in all areas to include maintaining an orderly filing system, managing receiving of ordered materials, managing inbound and outbound material, managing inventories of housed parts and working closely with Maintenance personnel and assisting with outside contractors as required. 

 

Essential Duties: (Considering job knowledge, job environment, effort, manipulative skill, judgement, safety knowledge and responsibility): 

1. Report any unsafe equipment, machinery, or conditions to the supervisor immediately. 

2. Maintain up-to-date and orderly records as they pertain to receivables, outbound material, month end reports and equipment / supply records. 

3. Assist in obtaining outside quotes and completing service work from contractors / suppliers for any necessary services or goods. Submitting requisitions into Workday for contract work. Assist in coordinating the work / services performed by outside contractors. Assist in overseeing and follow-up on all work / services performed by outside contractors. Communicate between involved parties to relay information and help in problem solving issues that may arise. 

4. Ensure that Contractor Safety guidelines are relayed to contractors and met before contractors are allowed to work at the facility. 

5. Work with facility in purchasing and obtaining any non-inventory materials needed. Obtain part numbers and prices. Fill out appropriate requisitions and obtain proper approval before making any purchase. 

6. Assist in locating ordered items. 

7. Manage uniform orders, inspection, distribution and inventory. Coordinate with uniform vendor when issues arise and ensure all new and existing personnel receive the necessary uniforms to perform their jobs. 

8. Create and maintain various spreadsheets, charts, reports, PowerPoint presentations, etc. 

9. Keep the work area neat, orderly and safe. 

10. Receive, make copies, and submit receipts for non-inventory items procured. 

11. Process Match Exceptions and assure completion. 

12. Records Retention of non-supply room invoices, raw materials and chemical receipts. 

13. MRM Metal Dumpster disposal. Call and get a credit number, create BOL, maintain proper records. 

14. Process recycling of batteries and light bulbs. 

15. Process Fed Ex Ground shipments. 

16. Set up access and maintain inventory in Grainger Vending Machines. 

17. Process and maintain the No PO List properly. 

18. Deliver supplies to various areas within the facility as needed. 

19. Process MRO orders correctly. 

20. Maintain records and equipment rentals. 

21. Process blanket POs. 

 

Non-Essential Duties:(Considering job knowledge, job environment, effort, manipulative skill, judgement, safety knowledge and responsibility). 

1. Perform any other duties as assigned by the leadership. 

 

Physical Requirements: 

1. Ability to sit for forty (40) percent of the shift and walk or stand sixty (60) percent of the shift. 

2. Ability to bend, squat, lift, carry, and reach occasionally. 

3. Ability to speak clearly and understand frequent verbal requests. 

4. Ability to read and understand a wide variety of documents and correspondence. 

5. Ability to evaluate situations and take actions to ensure department requirements are met. 

 

Other requirements: 

1. A high school education or high school equivalent. 

2. Ability to use several types of office machines to perform job duties adequately. 

3. Thorough knowledge of spreadsheet and word processing software. 

4. Able to use all phases of PeopleSoft. 

5. Ability to make math calculations.

Tools, Equipment & Material Requirements: 

1. Responsible for all equipment issued. 

Safety & Security Requirements: To help ensure the safety of you and others. 

1. Must wear hearing protection and eye protection in the plant at all times (except in designated areas). 

2. No smoking in plants. 

3. Must wear the required safety equipment at all times while operating machinery. 

4. Must conform to safety requirements as specified in Shaw’s Industries’ Safety Rules and Regulations and the Maintenance Clerk Job Hazard Analysis. 

 

Work Shift

12 Hr rotating shift, Hrs fall to in punch day, Act Calendar, shift starts PM, days change only
