About Program
Palladium is the Support Contractor for the Australian Government’s Vanuatu Skills Partnership. The Vanuatu Skills Partnership is a locally-led, service delivery reform initiative, which is delivering strong outcomes in skills development for prosperity. The Partnership is a co-investment of the Governments of Australia (Department of Foreign Affairs and Trade) and Vanuatu. As the Support Contractor, the focus of the company’s role is to provide program management and operational support to enable the Partnership to achieve its objectives, in line with its iterative, adaptive and contextually-responsive modality
Role
The Support Officer is an entry level role in the program, providing administrative support to the Vanuatu Skills Partnership’s corporate portfolio. The Support Officer will work closely with the Senior Support Officer and Support Coordinators (known collectively as the Support Hub) to provide effective administrative and operational support to the Partnership.
Location
The role is based in Adelaide on a full-time basis.
Primary Duties and Responsibilities
· Provide financial administration support across a range of areas including:
o supporting the coordination, tracking and development of financial reports, acquittals, finance templates and strengthening and developing tracking systems.
o timely review and submission to company finance for processing of supplier and personnel invoices in accordance with company/contractor timelines
o supporting end of month financial processes through conducting regular spot checks of FVs and providing support to Senior Support Officer as needed
o supporting compliance processes through monthly spot checks to asset registers (including IT register) and updating financial information where possible
· Provide high-quality administrative and support services including:
o Drafting contracts and updating contract tracking tools
o Provide administrative management to HR processes
o Ensure all documentation is filed and stored appropriately
o Provide logistical and travel coordination support to VSP team and international support personnel
Key Competencies
· Demonstrated skills in planning, coordination and administration, with strong attention to detail and accuracy.
· Excellent interpersonal skills, including the ability to establish positive working relationships and communicate effectively with a range of stakeholders, adapting style as needed.
· Demonstrated ability to proactively manage a diverse workload and meet deadlines.
· Demonstrated cultural sensitivity and willingness to learn Bislama.
· Experience in MS Excel, accurate data entry and management of records.
· Ability to review, revise and produce program documentation to professional standards.
· Demonstrated computer literacy, including the use of Microsoft Office and other systems to develop and maintain high quality administrative systems.
· Ability to work independently and as part of a team, knowing when to escalate matters to line manager as needed.
· Effective problem-solving skills, including the ability to gather relevant information, make decisions based on evidence and escalate issues appropriately.
