OBJECTIVE:
The Support Services Manager oversees the administrative and operational aspects of the reception area and support staff. This role involves hiring, training, supervising, and evaluating the Support Services team. The Support Services Manager coordinates with the President’s Office to support publication and presentation needs and works closely with the Communications Department to manage miscellaneous tasks for marketing and customer communications; develops forms and other data collection assets for internal and external applications; produces newsletters and provides general document support. The position leads effective management of the company’s phone operations through collaboration with the IT Department and internal staff. Additionally, the manager is responsible for the creation or delegating the creation of collateral for company events and assisting in event organizing and logistics. The position provides oversight of departmental budgets to control costs and promote fiscal responsibility. All duties should be performed in accordance with company policy.
OUR EXPECTATIONS ARE THAT YOU:
Hires, trains, supervises and evaluates performance of Support Services staff. Monitors and approves time-off requests for staff and ensures accurate recordkeeping in Paycom. Ensures department is providing quality services in a timely manner. Maintains the Home Office security policy; and visitor flow, working with internal staff to resolve issues. Ensures office staff are cross-trained and inter-departmental personnel are trained as a backup for the receptionist when needed. Ensures office is a reflection of MFA Mission, Vision & Values. Contributes to department budget planning and manages costs to keep expenditures aligned with budget. Engages with Support Services staff to facilitate continued learning in design and other office-related software Creates professionally designed materials, including advertisements, direct mailers, posters, flyers, banners, standees, newsletters, letters, PowerPoint presentations, postcards, retail merchandising displays, and any other marketing material, whether printed or digital, at the request of Retail locations or Communications. Responsible for all Executive team and Board of Directors PowerPoint presentations, books, and documents. Maintains an organized work atmosphere and ensures every department member meets timelines. Key player in developing marketing opportunities for MFA’s Retail operations and corresponding design collateral for the company. Ensures Corporate Image & Copyright standards are followed. Delegates creative or support projects to staff through project management software Collaborate with field staff and locations to promote store-specific marketing, sales, and events Creates interactive forms Creates and runs queries for Retail marketing mailing lists Primary contact for problem resolution/reformatting of existing complex Microsoft Office documents. Monitors workflow to ensure employees are being efficiently utilized. Monitors task statuses to ensure deadlines are met. Trains employees on new or updated functionality in project management software Stays current on task management best practices. Is a primary resource for Wrike questions or troubleshooting.
