Job Summary
This position will report to a Asset Protection Supervisor and will be responsible for providing provide high level admin support to the Asset Protection team. The role requires collaboration and positive engagement with various groups of individuals while always maintaining confidentiality. Proficiency in MS tools like Outlook, Word, Excel, PowerPoint as well as Oracle is preferred for this role. Asset Protection receives 750K plus excavation requests from GA811 annually and is responsible for protecting Georgia Power underground assets. In addition to the responsibilities listed below, the Support Specialist will work closely with our Leadership and Business Analyst’s to make sure the needs of our customers are met in a timely manner. This role will require days in the office to manage the needs of the organization.
Job Duties and Responsibilities:
Transfer Phones daily Check Calendar for any Contractor Coverage Email Urbint Support for any Coverage needed Update Late Notice Spreadsheet Run Large Project Report and email locators with reminder on how to respond to Large Projects accurately to avoid a late notice Dispatch timely and efficient responses to utility protection needs for both internal and external customers within the Asset Protection Department. Answer phone calls in a professional and responsive manner, accurately assessing the relative urgency and priority of each callers locate needs and contact appropriate contract or internal locator to resolve any concerns. Email any Contractor Complaints to appropriate Supervisor, team leader, and management. Save and document any Contractor Complaints to folder and spreadsheet. Respond to any Asset Protection email requests (ticket transfers, reopening tasks, update schedule, etc.) Coordinate logistics for meetings, (invites, catering, etc.). Order phones and phone accessories, upgrade phones, etc. Assist Supervisors/Locators with various requests (ordering business cards, supplies, etc.). Maintaing New Employee Handbook Update Late and On Call Zones in Urbint LENS. Keep contact information in Schedule Anywhere updated and assist with added and removing employees Assist Business Analysts and Supervision as needed Assist with Storm Restoration dutiesPOSITION REQUIREMENTS
Job Experience and Education:
Experience working in a team-oriented, collaborative environment. The use of MS Office tools such as Word, Excel and PowerPoint are highly preferred for this role. Must have previous experience with administrative responsibilities including deadline driven tasks. High School diploma required. College degree preferred Minimum two (2) years in an administrative support role preferred Previous experience providing administrative support or relevant work experience in a customer service /support role is preferred Experience supporting a large department is highly desired Experience with timekeeping, expense reporting, arranging travel, and coordinating meetings as necessary Experience taking initiative and being a self- starter with day-to-day responsibilities Experience with business expense processing, timekeeping, and travel arrangements preferredKnowledge, Skills & Abilities:
Ability to work in a challenging environment with multiple or changing priorities. Strong attention to detail The ability to work well with all levels of employees and management is required. Proven trustworthiness in maintaining sensitive/confidential information is essential. Ability to multi-task to organize, prioritize, and perform activities for multiple personnel at various levels within the department, determine priorities and meet required deadlines with minimal supervision. Excellent interpersonal skills and customer service skills required along with excellent written and verbal communication skills Proficiency in Microsoft Office products (Word, Excel, Power Point, Access, and Outlook) strongly desired.
